Operations Clerk provides clerical/administrative support to the operations group. Enters, compiles, and validates data using simple math as needed. Being a Operations Clerk performs clerical production activities such as proof, reconciliation, and posting. Prepares basic correspondence, forms and other documents as needed. Additionally, Operations Clerk may help research and resolve basic operational problems. Requires a high school diploma or equivalent. Typically reports to a supervisor. The Operations Clerk works under the close direction of senior personnel in the functional area. Possesses a moderate understanding of general aspects of the job.     Supervises: :None

    Department:: Finance
    FSLA Status: :Non-Exempt, Full-Time

    Position Summary: :Ensure the accurate processing and detailed reporting of all of the agency’s Accounts Payable transactions.

    Essential Duties/Responsibilities::
    • Assigns vendor and account numbers to invoices for computer entry.
    • Processes Accounts Payable on at least a biweekly basis, including coding, matching invoices with statements, entry into SAGE 100, obtaining the necessary authorizations, printing and filing reports, mailing, and filing.
    • Researches AP issues.
    • Processes period end reports for AP
    • Assists in allocation schedules for accounts payable.
    • Assists with funding applications, billing and financial reports to funding entities as required.
    • Processes ADP flexible spending transactions.
    • Assists with government billing as needed.
    • Maintains time sheet and enter time into Client Track to track hours worked.
    • Issues manual checks and vouchers as needed.
    • Assists in preparing monthly financial statements.
    • In preparation for and compliance with the annual audit and budget process, prepares various reports and schedules.
    • Prepares for and works cooperatively with the Board-approved CPA firm for the annual audit, as well as working with auditors from various funding entities.
    • Provides backup to other support staff, as required.
    • Participates in educational and training activities to improve professional and job-related skills.
    • Assumes additional appropriate duties and responsibilities as required.
    • Performs clerical duties as assigned.

    Qualifications::
    • Associate degree from an accredited college/university and/or 2 years prior accounting and bookkeeping experience.
    • Must have experience with automated systems, and multiple work sites and departments.
    • Able to work accurately at a fast pace and be a team player.
    • Computer literacy in Microsoft Office 365

    • Have a valid driver’s license with a clean driving record.
    • If your position requires you to transport clients, staff members, or volunteers with your personal vehicle as needed, it is required that you have a reliable vehicle with personal vehicle liability insurance coverage per person and per occurrence.
    • If your position does not require you to transport clients, staff members, or volunteers with your personal vehicle, or such transportation is restricted to use of agency vehicles, your personal vehicle liability insurance coverage must be at least per person and per occurrence.
    • Successful completion of federal and state background checks
    • Successful completion of child welfare screening
    • Successful completion of drug and Mantoux (TB) screens
    • Comply with the agency’s mission, code of ethics, Catholic Social Teaching, policies and procedures, and confidentiality
