Job Responsibilities:
Customer Onboarding & Order Management
Facilitate the documentation & onboarding process for prospects and new customers, including NDAs, Product
Manufacturing Agreements, Statements of Work, etc.
Develop strong knowledge of customer goals, initiatives, and products
Track and manage internal cost requests with Estimating Team
Coordinate and schedule customer meetings (as needed), to communicate project order updates and timelines effectively
Develop detailed project schedule plans, with project scopes and objectives, involving all relevant stakeholders
Create and execute customer invoices in QuickBooks Online
Manage Artwork Review process for labels, product boxes, inserts, etc. (including obtaining customer artwork, routing for internal team review, releasing files to the printer and working with procurement to order)
Ensure that projects are delivered on-time, within scope and within budget
Create and maintain comprehensive project documentation in Jira throughout the entire order process, including post mortem notes for record keeping.
Communicate all project updates and timelines with Sr. Project Manager to help streamline internal prioritizations between cross functional teams.
Day-to-day Order Management:
Manage daily order release requests & coordinate with shipping & fulfillment team
Support both Customer and internal Operations team needs throughout the “life-cycle” of projects, including- tracking order updates, action items and setting expectations with Customer & internal Ops team on all projects (including deliverables, timelines, formulation samples etc.)
Create and execute customer fulfillment invoices
Assist customers with daily requests and provide timely updates on their projects
Report and escalate issues to management appropriately as needed
Provide monthly inventory reports to customers including finished goods, raw ingredients, and packaging
Required Skills:
Bachelor's Degree in Business, Sales, Communications, Science, or related field
A minimum of 1 year experience in project planning or order management
Excellent organizational skills and attention to detail
Independent active learning & problem solving skills
Ability to manage multiple work streams, timelines, and processes
Technical skills / basic GSuite understanding (GMail, Google Drive, Google Meet (Video Chat), Google Sheets, etc.)
Communication skills (written and verbal) & ability to speak directly with customers
Experience with Project Management Tools (i.e. Jira) *Preferred, but not required*
