    Job Summary:

    The Clinic Manager has extensive experience in primary and specialty care and a demonstrated ability to grow and manage an office. The Clinic Manager will be the primary driver for growth within the existing market and work collaboratively with the management team in emerging markets. The successful candidate will demonstrate the ability to work independently and as a team member within the healthcare organization’s existing footprint across western North Carolina. He or she will successfully and collaboratively interact with all members of the healthcare, administrative, and operational team to help achieve clinical, strategic, and group goals.

    Practice Management:

    • Provides leadership by ensuring the smooth, organized, and efficient administrative operations of the clinic.
    • Administers organizational and clinical policies and procedures.
    • Manges clinical productivity standards and addresses issues in the workflows and staffing levels as needed.
    • Maintains practice management super user status with the EMR
    • Establishes and maintains a well-organized practice for front office and clinical support by developing, documenting, and updating procedures for front office operations; collaborates with clinic management teams to share best practices and ensure consistent workflows across all sites.
    • Works with business development team to implement marketing and community outreach initiatives.
    • Manages on-site safety initiatives as well as makes recommendations to administration for improvements.
    • Supports practice operations by analyzing and providing support for practice reporting.
    • Facilitates excellent patient care by overseeing patient scheduling, registration, reception, and medical records functions.

    Clinical Operations:

    • Coordinates and oversees scheduling for providers, clinical support staff and clinical administrative staff.
    • Manages PTO requests and impact to schedule.
    • Manages variable schedules to ensure staffing levels are maintained.
    • Oversees implementation of new procedures and assists with training the staff on new policies. Will also notify senior management of any potential issues that may arise during the efforts.
    • Ensures the providers’ EMR entries are completed timely by reviewing reporting weekly and following up with providers who are not complying with the companies’ standards.
    • Reviews productivity reports with providers and troubleshoots options for Improvement.
    • Manges office and departmental supplies.
    • Handles and resolves patient complaints.
    • Assures monetary integrity by overseeing petty cash and other department funds and making routine bank deposits.
    • Controls department payroll by accurately and efficiently managing time and attendance policies.
    • Assist staff with computer-related questions/problems.

    Staff Supervision:

    • Hires, coaches, disciplines and/or recommends termination of employees as necessary, in conjunction with the Human Resources Director and Clinical Operations Director.
    • Conducts regular staff meetings.
    • Provides and implements staff development plans in partnership with clinical director or operations to facilitate employee growth or performance improvement to reach desired goals.
    • Document any safety or patient incident issues as required by policy.
    • Maintain HIPPA compliance and audit practices.

    Revenue Cycle

    • Supports the practice through oversight and leadership of billing accuracy in partnership with revenue cycle management (RCM) team.
    • Ensures accuracy of registration process, including meeting patient demographic and insurance coverage data accuracy goals are set and managed, reporting on outcomes, implementing corrective action plans and identifying any barriers they may encounter.
    • Oversees and maximizes up-front collection by all check-in staff, ensuring that copay and coinsurance payments are made timely, and establishing payment plans as necessary for any outstanding balances.
    • Works closely with billing to clear up and return charges or missing tickets.
    • Serves as an authority on insurance changes that impact the practice, in collaboration with the RCM team.
    • Serves as an authority and resource on all registration activities.

    Education/Experience:

    • Associate degree or 5 years of healthcare related experience required.
    • Bachelor's degree in healthcare related field preferred.
    • Three (3) years of experience in healthcare operations/administration.
    • Two (2) years management experience, preferably in a medical office environment.

    Job Type: Full-time

    Pay: $55,000.00 - $65,000.00 per year
