Outpatient Clinic Manager manages the day-to-day operations of an outpatient clinic/care center. Responsible for ensuring that high quality patient care is given and that there is economical and efficient performance. Being an Outpatient Clinic Manager monitors patient volumes, quality of care, and performance of staff to identify areas for improvement. Requires a bachelor's degree. Additionally, Outpatient Clinic Manager typically reports to a head of a unit/department. The Outpatient Clinic Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be an Outpatient Clinic Manager typically requires 3-5 years experience in the related area as an individual contributor. The ideal candidate will have experience managing a healthcare clinic, as well as experience with human resources, and facility management. The clinic manager will be responsible for overseeing the day-to-day operations of the clinic, ensure that all staff members are performing their jobs effectively and that patients are receiving quality care in a clean, safe environment. 

    We are looking for a Clinic Manager with these skill sets:

    • Leadership: Leadership skills is a must to manage a team of staff members and ensure they complete their duties on time. Your leadership skills will be used to motivate your team and encourage them to perform well. You can also use leadership skills to delegate tasks and motivate employees to complete them.
    • Communication:  As a clinic manager, you will be required to communicate with several different parties, including patients, suppliers, team members, and administration. Effective communication can help you to convey information clearly and to ensure that everyone involved understands the same message.
    • Organization: Organization is another skill that will help you be an effective clinic operations manager. You will be responsible for managing a team of employees, overseeing the scheduling of appointments and ensuring that the clinic has the necessary equipment and supplies to operate. Being able to keep track of all the details of your job is necessary to be an efficient manager.

    Clinic Manager Job Duties and Responsibilities:

    • Participating in regular meetings with staff members to discuss updates on current projects and reviewing standard operating procedures (SOPs) to ensure they are followed correctly.
    • Conducting staff training sessions to ensure that employees are knowledgeable about current policies and procedures.
    • Ensuring that all PHI is kept in compliance with federal regulations.
    • Ensure that all clinic operations are carried out in a smooth and efficient manner and communicate issues and/or concerns with upper management.
    • Oversee the daily operations of the clinic, including but not limited to team member’s work schedules, coverage assignments for absent team members, ensuring equipment is operational.
    • Ensure that the clinic is in compliance with all state and federal regulations.
    • Supervise clinic team members, including clinical and non-clinical team members, and provide direction as needed.
    • Participate in regular meetings with staff members to discuss updates on current projects and reviewing standard operating procedures (SOPs) to ensure they are followed correctly.
    • Conducting staff training sessions to ensure that employees are knowledgeable about current policies and procedures.
    • Handle customer inquiries and complaints in a professional and courteous manner.
    • Develop and implement policies and procedures as needed.
    • Monitor inventory levels and order supplies as needed.
    • Participate and collaborate in management meetings.
    • Perform other duties as assigned.
    Preferred Skills and Qualifications:

    • Bachelor’s degree preferred, but not required, in business, healthcare administration, or related field.
    • 3-5 years’ experience in a management role in a healthcare setting.
    • Proven track record of successful team leadership and building positive relationships.
    • Excellent communication, problem-solving, and conflict-resolution skills.
    • Strong organizational and time-management skills.
    • Working knowledge of Microsoft Office suite.
    • Working knowledge of electronic medical records (EMR) such as eClinicalWorks, EPIC, or Meditech.
