Outpatient Clinic Manager manages the day-to-day operations of an outpatient clinic/care center. Responsible for ensuring that high quality patient care is given and that there is economical and efficient performance. Being an Outpatient Clinic Manager monitors patient volumes, quality of care, and performance of staff to identify areas for improvement. Requires a bachelor's degree. Additionally, Outpatient Clinic Manager typically reports to a head of a unit/department. The Outpatient Clinic Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be an Outpatient Clinic Manager typically requires 3-5 years experience in the related area as an individual contributor. Adult Program Manager - Outpatient Mental Health Clinic

  • The Adult Program Manager will report directly to the Clinical Director.  This position will direct and manage the daily operation of the adult outpatient counseling program. This includes: providing administrative supervision to staff, managing quality assurance of services provided and documentation completed, overseeing the operational functioning of administrative staff, and contributing as needed to ensure that the daily operations of the program are functional.

    Essential Duties

    • Assess the need for and coordinate treatment team meetings, as needed.
    • Assist the Clinical Director in organizing, planning, and running all mandatory general staff meetings, administrative meetings, QACC meetings, supervisor meetings, and QAOC meetings.
    • Follow all ethical standards set forth by DHS/OOL and his/her related counseling board.
    • Familiarity with quality assurance guidelines & standards.
    • Follow standards/guidelines set forth by HIPAA and protect all client PHI. 
    • Update the Clinical Director regarding high priority cases within the program.
    • Familiarity with the adult counseling program’s assessment tool utilized for evaluating clientele progress and therapeutic effectiveness.
    • Responsible for ensuring all Outpatient Clinic staff members are held accountable for weekly/monthly required tasks.
    • Monitors patient volumes, quality of care, and performance of staff to identify areas for improvement and future trainings.
    • Oversees the services and documentation for compliance with accreditation and/or certification standards; coordinates and/or assists in performance management regarding the development and implementation of corrective action plans to address any deficiencies involving these standards.
    • Assists in the development and maintenance of policies and procedures, operational guidelines, and contractual agreements relating to compliance standards.
    • Exercises considerable independent judgment and initiative in the performance of duties; receives general administrative direction from the Clinical Director.
    • Conducts weekly meetings with the Clinical Case Manager(s) to review high-priority cases, involve other administrative individuals as needed.
    • Ability to “fill-in” for any programmatic position and experience/knowledge to assist administrative individuals, as needed.
    • Demonstrates effective leadership with emphasis on taking initiative, timely and effective decision making, advocating for the client, promoting teamwork and developing the staff to expand their capabilities and encourage them to learn new skills.
    • Ability to plan, execute, direct, and evaluate program services. Clearly and comfortably delegates tasks and promotes a high level of accountability.
    • Ability to reasonably and effectively manage conflicts amongst administrative and program staff members.
    • Skills to train new staff members, manage program outcomes, evaluate, monitor and direct compliance for applicable regulations.
    • Assists with hiring, training budget distribution, performance evaluation, and progressive disciplinary actions. Participates in the supervision and evaluation of service delivery quality and content.
    • Ensures agency policies and procedures are followed including adherence to the organization’s UIR policy and procedures, as applicable.
    • Attends all county/community meetings, as assigned, and collaborates/networks with outside agencies, as needed.
    • Prepares the necessary documentation for billing and assists the Clinical Director in completing billing for all outpatient services biweekly.
    • Assists the Clinical Director on researching, planning, writing, and implementing grants and developing new funding sources.
    • Executes and manages grievances and complaints from program clientele, if necessary.
    • Attends weekly administrative supervision with the Clinical Director.
    • An understanding of the Trenton community.
    • Must be energetic, creative, and a self-starter.
    • Must be able to work as the lead of a treatment team & demonstrate the necessary skills to coordinate and execute a team meeting.
    • Must be able to work afternoons and/or evenings.
    • Must be culturally aware and sensitive.
    • Must possess excellent writing and communication skills.
    • Computer literate/experience with electronic health records.
    • Ability to work effectively as a team member and within a team-orientated environment.
    • Must be self-sufficient, independent worker, and able to learn quickly.
    • Strong decision-making skills.
    • Master’s degree from an accredited university in counseling or a related discipline.
    • LPC, LCSW, or LMFT credentials preferred.
    • Familiarity and experience with clinical documentation and outpatient counseling regulations of the Division of Human Services and Office of Licensing.
    • Experience with managing quality assurance.
    • Strong leadership and management experience.
