    This position is accountable for processing invoices, preparing payment to suppliers. Maintain files of Accounts Payable records and documents.


    KEY JOB TASKS & RESPONSIBILITIES:


    • Match invoices and/or packing slips to purchase orders. Compare prices, quantities ordered, received and billed. Only process invoices for payment with approved purchase orders or appropriate approvals.
    • Set up vendor master accounts.
    • Ensure proper coding on expenditure to departmental accounts, and post all invoices on monthly basis.
    • Prepare manual and weekly check run according to the Hotel policy and procedures.
    • Reconcile Accounts Payable ledger balance with vendor’s statement, and research any discrepancies as needed.
    • Stamp “PAID” on all paid invoices and supporting documents.
    • Maintain files of payment vouchers and check registers.
    • Safeguard records and documents for all Accounts Payable section.
    • Participate in the month end closing as it pertains to Accounts Payable.
    • Responsible for journal preparation of provision and accrual accounts in relation to Accounts Payable at the month end closing.

    QUALIFICATIONS REQUIREMENTS:

    • Thorough knowledge in accounting concepts and bookkeeping.

    Requirements

    EDUCATIONAL AND REQUIRED SKILLS:

    • One year: experience in the with Workday software (requisition, purchaser order)
    • HMS experience to print folios.
    • One year experience in office (administrative) tasks,
    • Basis Excel knowledge


    LANGUAGE SKILLS:

    Ability to communicate fully in English with all levels of management and co-workers. Spanish will be an advantage. Ability to read and interpret documents and manuals. Ability to create, write and produce correspondence and documents. Ability to speak effectively and professionally before groups of customers or employees of organization.

    Ability to communicate effectively with hotel vendors and staff.

    High degree of professional integrity and be able to work in a safe, prudent and organized manner.

    Ability to resolve problems effectively


    MATHEMATICAL SKILLS:

    Thorough knowledge in accounting concepts and bookkeeping and also have basic math skills.


    REASONING ABILITY:

    Ability to apply common sense understanding to direct or carry out furnished in written or oral or diagram instructions. Ability to interpret instructions and guidelines set by the hotel’s policy and procedures.


    PHYSICAL DEMANDS:

    Must be capable of sitting and working on a computer for extended periods of time. Able to walk throughout the hotel, distributing, or picking up supplies, and/or paperwork, quite a few times daily, also, one must be able to drive outside of hotel premises and deliver various materials.


    WORK ENVIRONMENT:

    Work conditions are mainly to work in a fast paced office, it tends to get busy as occupancy grows, or as seasons change. There is quite a bit of noise from all the surroundings, such as trucks loading, and unloading, and kitchen staff calling orders.
