Job Summary:
The Event/Scheduling Manager will do all requested rental intakes via the website, phone call, or email for the initial intake and then routed to the appropriate campus coordinator or designated building mgr. Take all information related to the needs of the event such as set up, tech needs, security, etc. Assist with setups for internal or sponsored events. Pass all information on to the proper Building Manager.
Essential Functions:
- Intake of all space use inquiries via the website, phone call, or email.
- Ensure all inquiries are returned and addressed within 24 hours during the regular business week M-F.
- Complete the intake form with the client to pass on to the building manager.
- Be on-site for required events as an LMC representative.
- Send weekly schedules to the Facilities Administration to complete the weekly building schedules for Security, Maintenance and Custodial.
- Working with diverse personalities both on the staff and patrons.
- Planning and taking part in internal events.
- Communicate with building managers to ensure proper coverage.
- Execute Rental contracts and collect deposits.
Other Duties:
- Performs other duties as assigned
Accountabilities:
Under limited supervision of the Senior Executive Assistant to the President, initiates and provides the administrative support required for the operation of the facilities rentals for all LMC campus buildings.
Job Specifications:
- Restaurant or Event Management experience or more education preferred.
- Strong understanding of Spaces and their uses.
- Excellent computer, problem-solving, and customer service skills.
- Exceptional communication and interpersonal skills.
- Ability to diffuse tense situations and resolve conflicts.
- Willingness to work during peak hours, including nights and occasional weekends.
- Effectively delegate responsibilities and maximize resources.
- Ability to walk, stand, and occasionally carry heavy items in a fast-paced, stressful environment.
