Basic Function: Under the general direction of the Registrar, provides leadership for coordinating commencement, maintaining permanent academic records, and assuring integrity, security, and knowledge of FERPA (Family Educational Rights and Privacy Act) as it relates to higher education documentation and confidential records.
Salary & Benefits: Salary of $40,465.56 - $48,558.67 based on experience. Fringe benefits of Blue Cross/Blue Shield health insurance, eye care, dental, life and disability insurance. Retirement benefits as provided by Social Security and IPERS or TIAA.
Qualifications: Bachelor's degree or an equivalent combination of education and experience in business or higher education. Must possess the ability to communicate effectively with staff and students. Ability to effectively plan and organize, work independently, maintain confidential and sensitive information, manage multiple tasks, and demonstrate attention to detail. Be self-motivated, energetic, and positive with strong Microsoft Office skills and proven success working within a team-based environment.
Responsibilities:
Provides professional assistance to the Registrar with the following responsibilities:
Training, scheduling, and delegating work to the Records Office support staff.
Interpreting and applying all academic rules and regulations.
Maintaining institutional policy concerning student record confidentiality in accordance with the Family Educational Rights and Privacy Act of 1974 (FERPA).
Responsible for amending student data on a scheduled basis.
Maintaining security and accuracy of all official student academic records including the assessment and correspondence involved in timely grading by faculty.
Organizing and coordinating the annual commencement activities and other graduation preparation and correspondence; including program, marketing, and media listings.
Assisting with the policy issues related to grades, refunds, registration, withdrawals, residency, college calendar, student privacy, and other associated issues.
Complying with the college credit record retention policy including electronic and physical storage.
Resolving Records Office student issues in the absence of the Registrar.
Other special projects as assigned by the Registrar.
Collaborate with campus staff/faculty regarding student information system training.
Overseeing the process of all subpoenas and Open Records requests received in the Records Office keeping in compliance with FERPA and state laws.
Preparing reports and correspondence regarding the student Dean's list and President's list per term.
Process Fresh Start, Residency Change, Academic Appeal, and Reverse Transfer correspondence.
Create the 14th Day Enrollment Term Reports for publication to TrojanHome using data provided by Technology Services.
Oversee and update the college website regarding Registrar's Office and transfer policies, procedures, and functionality.
Submit degree verification reports to the National Student Clearinghouse.
Participating in appropriate organizations and conferences to facilitate professional growth.
Actively participate in departmental and college committees as assigned.
Perform in a manner that strengthens the coordination and cooperation of all organizational components of the College, including opportunities for student recruitment.
