JOB PURPOSE
The Registrar manages staff and provides proficiency-based education for undergraduates in our blended program. They must have strong leadership, technical, and interpersonal skills and maintain collaborative working relationships with institutional leadership, faculty, and staff. This position ensures academic record integrity and is a central communication resource for academic and policy information on student records management.
ESSENTIAL JOB FUNCTIONS
- Oversee registration operations, including record creation, course scheduling, classroom assignments, final exam scheduling, grade processing, transcript issuance, and student enrollment verification.
- Manage transfer processes, transcript evaluation, credit posting, credit processing, and develop transfer credit rules in Classe365.
- Responsible for developing the Academic Calendar, updating the Registrar's Office website, and assisting with producing and publishing the college catalog.
- Responsible for beginning term processing (building of terms and sessions, term activating students, and assigning student appointments).
- Responsible for end-of-term processing (repeat/replace processing, academic action processes, communication with students related to academic actions, and Dean's List processing).
- Responsible for enrollment and degree reporting to the National Student Clearinghouse.
- Maintain academic program inventory and provide statistical data to the Tennessee Higher Education Commission (THEC).
- Enforce the provision of the Family Education Rights and Privacy Act (FERPA) and act as Knoxville College's Chief Compliance Officer for FERPA.
- Enforce compliance with Undergraduate Catalog requirements as they pertain to the Registrar's office.
- Provide technical leadership for Knoxville College's System of Record and evaluate a variety of 3rd party software packages that connect to and integrate with the college software.
- Organize commencement ceremonies, verify degree completion, and issue diplomas.
- Responsible for retrieving, releasing, inventory, and updating student records and transcripts stored in a third-party warehouse.
OTHER DUTIES AND RESPONSIBILITIES
- Establish and maintain effective relationships with other educational institutions' leaders and colleagues to enhance productivity.
- Serve on various college committees and advisory groups.
- Serve on multiple college System committees, most notably the Tennessee Registrar Groups.
- Develop, evaluate, interpret, and enforce departmental college systems, policies, procedures, and strategies relative to the college's academic mission.
- Perform other related duties as assigned.
QUALIFICATIONS
- A bachelor's degree is required.
- At least three years of progressively responsible professional experience in a Registrar's office in an institution of higher education.
- Experience, background, and demonstrated knowledge in competency-based education and transcripts, including extended transcripts.
- Experience in working with higher education-high school dual enrollment/ dual degree programs.
- Possess the ability to advocate directly and indirectly for faculty and students through procedural and system development.
- Possess excellent communication, leadership, and organizational skills.
- Experience managing complex records and computer systems in a registrar's or admissions office.
- Possess excellent technical, analytical, and problem-solving skills.
