REGISTRAR/Per Diem Registrar

  • PURPOSE OF POSITION: The Admitting Registrar is responsible for the full Admissions Process. This process includes but is not limited to: Completion of the intake form, verification of insurance benefits, accurate registration of the patient into computer, obtain all patient signatures on required forms and completion of all admission paperwork, creation of patient chart and maintain department records, reports and files.
    Responsibilities
    • This job operates in a psychiatric health care setting; the incumbent will be intervening with psychiatric patients who may be unruly at times. Introduces self appropriately (stating name and title) and communicates respectfully at all times.
    • Interview patients and families to obtain complete and accurate patient information upon admission based on age specific training.
    • Use established admissions procedures at all times to perform a complete computer patient index search in order to select correct patient and avoid duplication of medical records numbers.
    • Produce accurate, complete admission face-sheets at all times.
    • Obtain all required signatures at time of admission and make every effort to follow-up when not obtained at that time.
    • Prepare patient charts and maintain files in accordance with established procedures.
    • Provide required information packets (i.e. unit booklets) to patient, relative, or significant other on admission.
    • Request insurance card(s) at time of inpatient admission and make photocopy of card(s).
    • Follow established procedures at all times, to verify all insurances (primary/secondary) carefully and completely to ensure patient eligibility and timely payment by insurance companies and/or patients.
    • Follow established procedures at all times to obtain eligibility/authorization for emergency department and/or inpatient admission for patients covered under all Medicaid Programs and/or Managed Care Programs.
    • Complete all data entries with correct information.
    • Review REGISTRATION LOG to make sure that all entries are completed and all patients admitted have been logged in for the day.
    • Perform bed control functions effectively, in accordance with established procedures.
    • Answer telephones promptly and courteously.
    • Maintain department's records, reports and files carefully, in accordance with established procedures.
    • Maintains statistical data as assigned.
    • Comply with established regulatory, hospital, and departmental Policies, Procedures and Objectives.
    • Attend department staff meetings, trainings & developments, and all required hospital in-services.
    • Assist with maintenance of department equipment and supplies by identifying equipment in need of repair, and supplies which are running low, and reporting problems/issues.

    • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and listen, walk to various locations around the hospital, sit, stand, bend, kneel and stoop all day. The employee might have to lift or move items weighing over 15 pounds.
    • Other related duties as assigned by supervisor/department head and/or unrelated duties in times of emergencies. Duties, responsibilities and activities may change at any time with or without notice.
    Required Qualifications
    • Ability to speak, read, and write English.
    • High School Diploma, plus 2 years of college.
    • 2 years in an administrative assistant capacity.
    Preferred Qualifications
    • Bachelor's Degree.
    • 2 years in an administrative assistant capacity in a healthcare institution.
