Additionally, Patient Relations Director coordinates role-based training to enhance each patient interaction. Requires a bachelor's degree. Typically reports to a director. The Patient Relations Director manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Patient Relations Director typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     Summary

    This position is responsible for providing exceptional customer service and successfully navigating patient needs in a confidential, professional and efficient manner.

    Qualifications

    The ideal candidate will have a high school diploma or equivalent, possess exceptional interpersonal and relationship building skills, including conflict resolution, strong attention to detail, proficient computer skills to learn eCW [eClinical Works] program effectively. Bilingual [English/Spanish] is preferred.

    Full Job Description – Patient Relations Specialist:

    Purpose: Under general supervision of the Patient Relations Supervisor the Patient Relations Specialist is responsible for successfully navigating patient needs in a confidential, professional, and efficient manner.

    Summary of Position: The Patient Relations Specialist serves as a primary customer service representative  and works cohesively with the TRMC team to provide the best experience possible for its patients.

    Responsibilities:

    1. Communicates with people within the scope of this position.
    2. Maintains patient confidentiality through HIPAA compliance.
    3. Manages phone calls, internal and external electronic messages according to the current guidelines for each department.
    4. Collects co-pays and other balances.
    5. Assists in maintaining good patient flow throughout the day.
    6. Assists patients with setting up and problem solving the patient portal.
    7. Maintains incoming medical records and routes appropriately.
    8. Works cohesively with team members and assists in all areas of responsibility and tasks.
    9. Attains complete registration for both the Primary Care and Emergency Department.
    10. Provides excellent customer service to each patient, staff and visitors.
    11. Addresses patient’s questions or concerns and understands when to collaborate with team members.  
    12. Communicates with patients in a courteous and professional manner.
    13. Consistently demonstrates positive interpersonal relationships with colleagues, TRMC personnel, and patients/families, to achieve maximum operational effectiveness and customer satisfaction.
    14. Orientation/Training
      1. Attends all staff and team meetings when able.
      2. Participates in continuing education opportunities.
    15. Other duties as assigned.

    Knowledge, Skills and Abilities:

    Must be able to hear and speak clearly

    Ability to effectively communicate, both in person and in writing

    Possess exceptional interpersonal and relationship building skills, including conflict resolution

    Ability to work with people [i.e. staff and patients]

    Ability to maintain professionalism and confidentiality in all interactions

    Proficient computer skills required to learn and use eCW (E-Clinical Works) program effectively

    Strong attention to detail

    Compassion, patience, and empathy

    Transparency and honesty

    Outstanding organizational and stress management skills

    Education or Formal Training

    High School Diploma or equivalent

    Work Environment/Physical Activities:

    General Office/Medical Clinic Environment

    Fast paced environment with occasional high pressure or emergent situations

    Possible exposure to human biohazards and other bodily fluids

    Requires physical stamina to sit for long periods of time

    Occasional lifting < 15 lbs
