    Job summary:

    Reports directly to the Director of Finance (DoF). Perform a variety of responsible accounting and general office duties related to accounts receivable processing.

    Summary of essential job functions

    • Input and process accounts receivable; accounts payable (backup)
    • Daily reconciliations for all locations
    • Monthly reconciliation of all bank accounts
    • Month-end closing procedures for accounts receivable
    • Reconcile accounts receivable clearing (1205) and special form invoices such as government contracts, etc.
    • Monitor daily cash shortages and overages
    • Monitor aging of accounts receivable and report items that are past due to DoF
    • Create invoices for all departments that generate accounts receivable, sending via email if needed
    • Return W-9’s as requested by A/R customers
    • Assist with yearly audit preparations
    • Maintain MIP Fund Accounting software. Update with IT as needed.
    • Work closely with other departments to resolve discrepancies and ensure records are up to date and the general ledger is accurate
    • Generate CARS/CompMan daily activity reports showing revenue and expense statements for internal use
    • Reconcile all payment processing with the operating account
    • Exercise independent judgment & discretion to administer the following accounting functions:
      • Prepare and submit Journal Entries as required by DoF
      • Receive and process phone credit card payments if needed
      • Prepare daily digital deposit of all checks received each day
      • Update DUI monthly report
      • Work with partner to count daily CSR deposits for all branches and prepare weekly deposit
      • Process petty cash reimbursements and corresponding journal entries
      • Maintain Receivable files for current and prior years
      • Maintain and reconcile main petty cash/change fund
      • Audit petty cash banks - annually
      • Unlock courier bins from branch offices
      • Make reimbursements to all petty cash users
      • Make journal entries in MIP of all petty cash reimbursements
      • Prepare daily cash deposit report from all departments and branch offices
      • Prepare weekly cash bank deposit
      • Process refunds, voided payments, investigate disputes and chargebacks in payment processing system
    • Daily Cash Receipts
      • Prepare daily cash deposit from all offices with accounting co-worker
    • Assist the DoF and perform other duties as assigned

    Education/Experience:

    • High school diploma required
    • Associate degree in business or accounting preferred
    • Two (2) years Accounts Receivable experience required

    Required Skills/Abilities:

    • Basic mathematical and accounting knowledge
    • Strong computer skills with proficiency in Microsoft Excel
    • Good communication and organizational skills
    • Investigative/analytical thinker; problem solver
    • Must be detail oriented and be able to manage multiple priorities and meet deadlines
    • Must have a high level of accuracy, efficiency, and accountability

    Physical Requirements:

    • Requires sitting, standing, bending and reaching
    • May require lifting up to 25 pounds
    • Requires manual dexterity sufficient to operate standard office machines such as computers, fax machines, calculators, the telephone and other office equipment
    • Requires normal range of hearing and vision. Interaction primarily with co-workers
