Payroll Administrator is responsible for the accurate preparation, documentation, distribution and reconciliation of payroll and the administration of the payroll system. Reviews the computation of pay and associated deductions for accuracy. Being a Payroll Administrator maintains up-to-date knowledge of city, state, provincial, local, and federal legislation affecting payroll; understands and follows applicable provisions. Prepares required tax filings and other reporting. Additionally, Payroll Administrator may coordinate payroll processing with an outside service provider. Responds to and resolves any inquiries regarding paychecks or payroll reporting. Ensures payroll issues are escalated and resolved promptly. May require an associate degree or equivalent. Typically reports to a manager or head of a unit/department. The Payroll Administrator work is closely managed. Works on projects/matters of limited complexity in a support role. ESSENTIAL FUNCTION & RESPONSIBILITIES
- Responsible for the preparation and processing of high volume, multi-state weekly payroll for both union and non-union employees Review, analyze and update of employee timecards to ensure they are paid according to policy.
- 500 employees in multi union, multi company, multi state environment
- Provide assistance to employees with any payroll issues
- Set up new hires in payroll system; ensure accuracy and completeness of all required information; maintain and update records pursuant to employee/payroll changes
- Assisting with reports, spreadsheets, tracking, etc. especially in EXCEL
- Data entry, Fringe Setup, Fringe Reporting and Paying
- Steward Reports, Union Audits, Workers comp audits
- File documents in employee personnel files
- Office support duties, as required
- Weekly Processing
- PR tax admin, Fed, State and Local- Weekly, Monthly, Quarterly, Annual
Experience and Skills required include, but are not limited to
· Experience processing high-volume payroll transactions
· Working knowledge of federal, state and local tax laws pertaining to the payroll function, as well as garnishment laws and procedures.
· Familiar with regulatory compliance in employee’s home state
· Keep current with union Master Labor Agreements rates, and state and federal basic labor laws
- Understanding pay scale differences
- External audit experience
- Differentiating between deductions and fringe benefits
· Proficient PC skills including intermediate to advance level in Excel, Word and Outlook, with high attention to detail
· Experience in Foundation a plus
· Able to deal with difficult issues with employee’s in a calm, knowledgeable discrete manner
· Works well with others
