Payroll Administrator is responsible for the accurate preparation, documentation, distribution and reconciliation of payroll and the administration of the payroll system. Reviews the computation of pay and associated deductions for accuracy. Being a Payroll Administrator maintains up-to-date knowledge of city, state, provincial, local, and federal legislation affecting payroll; understands and follows applicable provisions. Prepares required tax filings and other reporting. Additionally, Payroll Administrator may coordinate payroll processing with an outside service provider. Responds to and resolves any inquiries regarding paychecks or payroll reporting. Ensures payroll issues are escalated and resolved promptly. May require an associate degree or equivalent. Typically reports to a manager or head of a unit/department. The Payroll Administrator work is closely managed. Works on projects/matters of limited complexity in a support role. Responsibilities:
- Process payroll for employees accurately and in a timely manner
- Maintain employee records, including new hires, terminations, and changes to employee information
- Calculate and process deductions, including taxes, benefits, and garnishments
- Reconcile payroll accounts and resolve any discrepancies
- Prepare and distribute payroll reports to management
- Ensure compliance with federal, state, and local payroll laws and regulations
- Collaborate with HR department to ensure accurate employee data in the HRIS system
- Assist with year-end reporting and tax filings
- Provide support for audits related to payroll processes
Experience:
- Minimum of 3 years of experience as a Payroll Administrator or similar role
- Strong knowledge of payroll systems (ADP, Paychex) and accounting software
- Familiarity with governmental accounting principles is a plus
- Experience with account reconciliation and general ledger reconciliation
- Proficient in Microsoft Office Suite, particularly Excel
- Excellent attention to detail and accuracy
- Strong organizational and time management skills
