Payroll Administrator is responsible for the accurate preparation, documentation, distribution and reconciliation of payroll and the administration of the payroll system. Reviews the computation of pay and associated deductions for accuracy. Being a Payroll Administrator maintains up-to-date knowledge of city, state, provincial, local, and federal legislation affecting payroll; understands and follows applicable provisions. Prepares required tax filings and other reporting. Additionally, Payroll Administrator may coordinate payroll processing with an outside service provider. Responds to and resolves any inquiries regarding paychecks or payroll reporting. Ensures payroll issues are escalated and resolved promptly. May require an associate degree or equivalent. Typically reports to a manager or head of a unit/department. The Payroll Administrator work is closely managed. Works on projects/matters of limited complexity in a support role.     Here at Holman, our People Support department is a key advocate for our employees and proponents of our company culture and values.  While they are directly responsible for assisting our Team Members with payroll and benefit needs, their value is in their ability to translate our Company Values into their daily actions.  We rely on them for their timely processing skills, attention to detail, strong communication with Team Members, as well as their desire to grow and develop themselves and other employees.

     

    Core Responsibilities

    Payroll Processing:

    • Post employee deductions, bonuses, garnishments, and other wages accurately.
    • Process payroll transactions, including new hires, terminations, and changes in employment status.
    • Verify and reconcile timesheets, ensuring accuracy and compliance with company policies and relevant regulations, both federal and local.
    • Address payroll-related inquiries from employees and resolve discrepancies promptly and in a professional, compassionate manner.
    • Act as the backup to the Payroll Specialist for time off and vacation.
    • Other duties as assigned.

     

    Benefits Administration

    • Work with our third-party benefits administrator to ensure that Team Members receive thorough and accurate communications of benefit changes.
    • Administer employee benefits programs, including health insurance, retirement plans, and other fringe benefits.
    • Verify employee and dependent eligibility through document review and approve benefit elections.
    • Coordinate Open Enrollment with the People Support Business Partner and Director of People Support and communicate with local People Support representatives on the communication of benefit options to employees.
    • Process benefits enrollments, changes, and terminations accurately in a timely manner.
    • Serve as the primary point of contact for People Support representative inquiries related to benefits, providing guidance and support as needed.
    • Collaborate with benefit vendors to ensure smooth administration and resolve any issues or discrepancies.
    • Other duties as assigned.

     

    Compliance and Reporting

    • Remain informed about federal, state, and local regulations governing payroll and benefit administration.
    • Ensure compliance with relevant laws, regulations, and company policies.
    • Work with the Payroll Specialist to prepare and submit tax filings and reports in accordance with statutory requirements.
    • Generate and analyze payroll and benefits reports to identify trends, discrepancies, and areas for improvement.
    • Other duties as assigned.

    SKILLS & ABILITIES

    • Education: Bachelor’s Degree in Human Resources, Accounting, Finance, or related field (preferred).
    • Experience: Two (2) years’ experience in Payroll or Benefit administration.
    • Computer Skills: Advanced computer skills. Strong working knowledge of MS Office to include Outlook, Excel, Powerpoint, and Word. Strong HRIS skills necessary; preferably with Ultimate Software (UKG).
    • Certificates & Licenses: SHRM Certified Professional (SHRM-CP) credential preferred.
