Payroll Clerk prepares and processes payroll and associated information. Collates and verifies data and inputs into the payroll system. Being a Payroll Clerk updates payroll records and processes routine changes to employee records. Performs basic reconciliation and auditing processes during each pay cycle. Additionally, Payroll Clerk responds to pay-related inquiries from staff. Researches and resolves errors or omissions. May prepare and submit reports and forms required by IRS or other regulatory bodies. Follows all processing procedures, adheres to policies, and maintains confidentiality. Typically requires a high school diploma or equivalent. Typically reports to a supervisor. The Payroll Clerk works under moderate supervision.     Position Function/Purpose

     

      This position must interact with the Payroll Director, the Director of Finance, the Chief Financial Officer, and school district employees answering questions regarding payroll and pay information.  This position is responsible for data entry of supplemental pay information, deductions and other payroll information on a mainframe computer.  This position is called on to consistently produce results in a time-critical environment.

     

    Major Responsibilities

    1. Receive calls and answer questions concerning payroll or direct questions to the appropriate individual
    2. Dispense payroll forms and answer any questions concerning them
    3. Maintain employee files on all regular payroll employees
    4. Receive and process employee verifications for all payrolls from the various outside agencies
    5. Receive and maintain custody of all non-certified timesheets for any regular payroll employees not set up on Time Clock System.
    6. Process weekly reports, review for accuracy and offer support to correct all documentation of employee time on Time Clock System in preparation for weekly closing.
    7. Communicate with Personnel and Benefits Department employees any changes, additions or deletions that need to be made to employee information
    8. Calculate and process payroll adjustment checks and data entry forms
    9. Pull all necessary payroll information requested for the annual audit
    10. Process and maintain employee sick leave cards
    11. Perform verification of sick leave balances to database
    12. Process all direct deposit information for regular payroll employees
    13. Correspond with all banks to verify routing and account number information on new direct deposits
    14. Process all insurance, credit union and any other deduction changes to the database
    15. Balance all deduct adjustments and refunds received from the Benefits Department
    16. Enter W4 information and changes on all regular employees
    17. Process all information received on Personnel Action forms regarding newhires, rehires, terminations and any other payroll changes
    18. Process and balance all supplemental pay information
    19.  Responsible for the retention of prior year timesheets
    20. Responsible for training all new campus/departmental Time Clock managers in proper Time Clock System procedures and usage
    21. Other duties as assigned

    Qualification Requirements

    1. High School Diploma or GED
    2. Previous clerical experience
    3. Experience with computerized payroll system and mainframe data entry
    4. Work and relate effectively with people
    5. Typing and calculator skills
    6. Excellent verbal and telephone skills
    7. Self-motivated
    8. Prior payroll or clerical experience
