Payroll Supervisor is responsible for the supervision and coordination of payroll processing operations. Ensures accurate calculation of wages and processing of tax withholding and company deductions. Being a Payroll Supervisor prepares statistical reports on employee pay, commissions and bonuses; vacation, sick, disability and workers compensation leave; taxes, withholding, etc. Oversees the distribution of paychecks and direct deposit programs. Provides training to team on policies, regulations, and processes. Additionally, Payroll Supervisor assists team members with resolving errors or responding to inquiries. May be the first level escalation for complaints or complex error resolution. Typically requires a bachelor's degree. Typically reports to a manager or head of a unit/department. The Payroll Supervisor supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be a Payroll Supervisor typically requires 3-5 years experience in the related area as an individual contributor. Thorough knowledge of functional area and department processes.     Job Description Summary
    The Division of Facilities and Real Estate Services (FRES) provides the expertise, business process, policies and standards required to plan, design, construct, operate, maintain and renew the physical assets of the University, excluding the health system. In addition, the Division, comprised of approximately five Departments, is responsible for the strategic planning, management and operation of non-academic University property, and collaborating with the neighborhood to create a safe, diverse and economically vibrant destination. With close to 12M square feet of space, FRES maintains 186 buildings on a campus of 276 acres, completes over 60,000 maintenance requests per year, and starts approximately 250 projects a year. FRES is comprised of the following Departments: Administration, Office of the University Architect, Design and Construction, Real Estate, Operations and Maintenance.

    Payroll Supervisor

    Position Summary:
    Supervise the duties of two (2) Payroll Assistants who, on a daily basis, collect and input time related data for approximately 275 union trades employees in the Kronos Workforce Central timekeeping application. Review the output from the timekeeping system for the trades employees to ensure accuracy and direct the Payroll Assistants for corrections. Daily review of the output of time related data input into the timekeeping system for approximately 500 union housekeeping employees into the timekeeping system by the division's housekeeping supervisors ensuring accuracy / completeness. Research and resolve payroll issues identified through review of payroll reporting and / or raised by internal customers ensuring full compliance with pay rules established in the two (2) collective bargaining agreements that apply to the division's union employees. Work under limited supervision.

    Responsibilities:
    Manage the daily duties of two (2) Payroll Assistants inputting information into the timekeeping system ensuring work is completed accurately and completely daily

    Provide guidance to the Payroll Assistants to address identified issues, prevent repeated issues and enhance processes

    Review time related data entered into the timekeeping system by the division's housekeeping supervisors ensuring accuracy / completeness

    Communicate effectively with Operations supervisors through Payroll Assistants or self to resolve timecard issues and to communicate changing deadlines

    Monitor promotions, terminations & leaves understanding and addressing associated impact to the payroll processes

    Complete monthly unionized benefit payments

    Review new employees' information/schedule in Kronos ensuring start date and pay rate are accurate

    Responsible for the update, maintenance and enhancements to documentation / procedures of the payroll team

    Perform additional duties as assigned

    Qualifications:
    High School diploma or GED and at least 3 years of related experience with at least 1 year of managerial experience or equivalent combination of education and experience is required.

    The ideal candidate must be detailed oriented, possess a mathematical aptitude and have strong organizational and customer service skills.

    The ability to effectively communicate is a must.

    Ability to read, interpret and apply payroll rules established in collective bargaining agreements is required.

    Previous payroll experience utilizing a timekeeping application is required.

    Proficiency with spreadsheet software (preferably Excel) is preferred.

    Familiarity with University payroll is a plus.

    Familiarity with payroll in a union environment is a plus.
