Payroll Supervisor is responsible for the supervision and coordination of payroll processing operations. Ensures accurate calculation of wages and processing of tax withholding and company deductions. Being a Payroll Supervisor prepares statistical reports on employee pay, commissions and bonuses; vacation, sick, disability and workers compensation leave; taxes, withholding, etc. Oversees the distribution of paychecks and direct deposit programs. Provides training to team on policies, regulations, and processes. Additionally, Payroll Supervisor assists team members with resolving errors or responding to inquiries. May be the first level escalation for complaints or complex error resolution. Typically requires a bachelor's degree. Typically reports to a manager or head of a unit/department. The Payroll Supervisor supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be a Payroll Supervisor typically requires 3-5 years experience in the related area as an individual contributor. Thorough knowledge of functional area and department processes.     As the Payroll Specialist, you will provide exceptional internal customer service to all team members during every interaction. In this role, you will be responsible for processing payroll, compiling payroll data, managing withholdings, and maintaining accurate payroll records. This role is crucial for ensuring employees are paid correctly and on time, in compliance with federal and state regulations. The ideal candidate will bring a robust understanding of multi-state payroll tax laws and have experience with payroll systems implementation and end-user training and support.

     

    PAY INFORMATION 

    $60,000-$70,000 Annually

    This position is bonus eligible

    LEADERSHIP RESPONSIBILITIES

    In this role, leadership responsibilities encompass strategic guidance, team support, and effective change management within the payroll department. This involves providing input on payroll best practices, ensuring alignment with multi-state regulations, and developing efficient payroll procedures. As the Payroll Specialist, you will also mentor and train team members on new systems and updates, fostering a culture of continuous improvement and compliance. Your leadership support will be pivotal in managing transitions, enhancing system functionalities, and ensuring that the payroll team is well-equipped to handle both routine tasks and complex challenges effectively.

     

    ESSENTIAL DUTIES & KEY RESPONSIBILITIES 

    • Accurately processes payroll for employees, ensuring timely and correct payments. 
    • Handles data compilation, calculation of wages, and processing of withholdings.
    • Maintains up-to-date knowledge of payroll tax requirements and regulations across multiple states. Reviews and applies these regulations to ensure full compliance.
    • Maintains precise payroll records and prepares detailed payroll reports as needed, ensuring all payroll transactions are well documented.
    • Performs regular payroll audits per pay period to ensure accuracy. 
    • Analyzes payroll issues and provides effective resolutions.
    • Participates in the implementation of payroll systems. 
    • Provides training and support to end users to facilitate smooth transitions and ongoing operations.
    • Acts as a backup and support to the Payroll Manager and collaborates with the administrative team to enhance payroll processes.
    • Performs other related duties as assigned.

    WORK ENVIRONMENT

    • This position is primarily office-based, with opportunities for remote work as deemed appropriate. Regular collaboration with the Finance and HR department is expected.

    REQUIRED SKILLS & COMPETENCIES 

    • A minimum of 3-5 years of experience in payroll processing, including familiarity with multi-state payroll law.
    • Experience with payroll software and systems, including implementation and troubleshooting. ADP WorkForce Now is preferred.
    • Strong analytical skills and attention to detail.
    • Excellent organizational and time management skills.
    • Proven ability to handle confidential information with discretion.
    • Effective communication skills, capable of explaining payroll processes and requirements to non-specialists.
    • Previous experience providing training and support to payroll system users.
    • A proactive approach to problem-solving and the ability to work independently.
    • Capability to provide backup support to the Payroll Manager and take on leadership roles as needed.

     

    PHYSICAL REQUIREMENTS 

    • Ability to sit for extended periods, working at a computer or desk.
    • Capacity to communicate effectively, both verbally and in writing.
    • Capability to attend and lead meetings, events, and presentations.
    • Mobility to move around the office and frequently navigate worksites.
    • Manual dexterity to use office equipment and perform necessary job functions.
    • Visual acuity to read and analyze documents and reports.
    • Auditory ability to listen and interact during discussions and meetings.
    • The ability to lift objects weighing up to 50 lbs. may be necessary.
