Description:
The Personnel Secretary is responsible for implementing and maintaining various personnel
programs and processes, ensuring compliance with relevant laws and regulations, and providing
support and guidance to employees and administrators. The Personnel Secretary works closely
with school administrators, district personnel, and external agencies to ensure effective human
resource management. This is a 12-month position.
Responsibilities:

Responsible for timely completion of reports, Board motions and agendas.
- Maintain a regular filing system, as well as confidential files and process correspondence.
- Retain accurate employee absentee records, and update information needed to complete theemployee absenteeism report.
- Maintain annual employee vacation and personal day leave control and carry-over balances.
- Support the district as it relates to processing new hires, including collecting, recording, and filingpaperwork; issuing security badges and completing employee initiation.
- Process confidential personnel information.
- Retain Unearned Sick Leave data.
- Transfer recorded absences from the attendance system into the Personnel system. Coordinateattendance and associated pay with the payroll department.
- Process catastrophic illness requests and maintain records. Maintains a working list of substitute employees and assists in the selection and retention andtraining of substitute employees.
- Complete the hiring of substitute employees and maintain applications, procedures, and records.
- Maintain Absence Management substitute/attendance system daily.
- Monitor and provide data focused on the approved list of substitutes and unfilled positions.
- Manages the substitute assignment system, and directly contacts substitutes when necessary.
- Generates substitute transaction reports for payroll on the 15th and the last day of the month.
Requirements:
- Personnel/Human Resource experience preferred.
- Excellent organizational, secretarial, and written communication skills.
- Detail-oriented, organized, and able to manage multiple priorities in a fast-paced environment.
- Ability to maintain confidentiality and handle sensitive information with professionalism anddiscretion.
- Must be proficient in using Microsoft Suite, Google Drive, and other personnel and business office software.
- Required criminal history background check and proof of U.S. citizenship or legal resident alien status.
- The successful candidate will need to reside in the State of NJ within one year of appointment.
