  • The Director of Operations is a new position at Skyline Foundation and will work closely with the
    Executive Director to co-create a collective culture and align all the foundation’s operations,
    systems, and activities with its vision and values. The ideal candidate will be a creative systems
    thinker and ensure that the foundation’s infrastructure supports Skyline’s growth and
    development. The Director of Operations will bring a strong equity lens to adapting and
    managing the systems, processes, and administration that keep the foundation running
    smoothly, including grants and knowledge management, people and culture, facilities, and
    technology. The Director of Operations will partner with Pacific Foundation Services (PFS), which
    currently provides support for finance, accounting, human resources, information technology,
    and grants management.
    The ideal candidate will have experience and understanding of grantmaking, the philanthropic
    sector, and how to operationalize values throughout an organization’s work. The Director of
    Operations will bring current knowledge of practices in trust-based philanthropy, knowledge and
    grants management, and operations. The ideal candidate will be both a leader and a doer –
    leading the infrastructure needs of the foundation and doing the work as a member of a small and
    collaborative team.
    Areas of Responsibility
    Organizational Management and Development
    • Develop, implement, and improve systems, structure, and policies in service to the
    foundation’s vision and values
    • Partner with Executive Director and Board to envision and plan for the foundation’s
    growth and guide and motivate team members through change
    • Create plan for grants management and information technology services and lead
    subsequent implementation
    • Hire, train, and supervise current and future operations and grants management team
    members and consultants
    • Manage vendor and consultant selection and contracts and ensure coordination
    between Skyline team and external consultants
    • Maintain a high level of communication and collaboration within the operations team
    and across the foundation
    • Collaborate with Executive Director and program team to identify, lead, and manage
    cross-functional projects and initiatives
    Grants and Knowledge Management
    • Oversee the grants management and compliance functions, ensuring that Skyline’s
    processes and procedures are trust-based, efficient, clear, and respectful of
    grantees’ time and expertise
    • Maintain up-to-date knowledge of private foundation rules and regulations
    • Lead internal knowledge management, develop shared systems, and ensure team
    participation
    • Support Executive Director in providing staff support to the Board in its governance and
    fiduciary roles, including managing preparation and analysis for board meetings
    People and Culture
    • Foster the internal growth of a healthy and collective culture, professional development,
    continuous learning, and values-aligned practices and policies
    • Partner with Executive Director to set strategic HR priorities and goals that align with
    Skyline’s values; areas include recruitment and selection, engagement and retention,
    benefits and compensation, training and development, performance management, and
    change management
    • Oversee transactional (day-to-day administrative) HR functions, such as administering PEO
    system, compiling and maintaining employee records, distributing workplace policies,
    recruiting candidates and issuing employment offers and documentation, managing new
    hire onboarding, documenting operating processes, and supporting general inquiries with
    support of PFS
    Facilities Management
    • Lead daily operations of the foundation and its office, managing relationships, monitoring
    and addressing facility needs, and ensuring documentation of office policies and procedures
    Information Technology
    • Develop and implement a vision for IT support and systems that will support the overall
    efficiency, effectiveness, and data security of the foundation
    • Partner with PFS and Office Manager to manage relationship with managed service
    provider for IT and IT projects
    Accounting and Finance
    • Partner with Executive Director and PFS accounting team to prepare and recommend
    annual operating budget to Skyline’s Board
    • Review monthly operating budgets with PFS accounting team, resolve audit questions,
    and respond to other inquiries
    • Support Executive Director and program team to project and track annual grantmaking
    budget
    • Liaise with Skyline’s investment manager to support grantmaking process
    Field Building
    • Build and maintain relationships with operations leaders in philanthropy and social
    justice nonprofits to share learning
    • Represent the foundation in philanthropic spaces
    Required Competencies, Skills, and Attributes
    • Commitment to Skyline’s program areas, collaborative leadership, continuous
    learning, and trust-based philanthropy principles
    • Service-oriented leader and strong team player that embraces Skyline’s values
    • Understanding of how operations and administrative infrastructure function in
    partnership with programs and in service to the foundation’s goals
    • Leadership experience developing and implementing a strategic vision and guiding an
    organization through change; experience in philanthropy is preferred
    • A minimum of 10 years’ experience in operations with demonstrated capability to
    inspire, empower, and mentor high performing teams
    • Strong written and oral communications skills, including experience with presenting
    data creatively and compellingly
    • Demonstrated experience in project management with proven ability to lead and
    implement multiple simultaneous projects that require high attention to detail and
    adherence to deadlines
    • Strong critical thinking, analytical, and facilitation skills
    • Thoughtful and open-minded listener with high emotional intelligence
    • Ability to exercise good judgment and take initiative within broadly defined guidelines
    and complex procedures
    • Excellent relationship building skills with an ability to prioritize, negotiate, and work
    with a variety of internal and external stakeholders
    • Personal qualities of integrity, credibility, and discretion about confidential matters
    Compensation
    The salary range for this position is $240,000–$270,000, and pay is commensurate to experience.
    Skyline Foundation offers a comprehensive benefits package, including medical/dental/vision
    coverage for the employee and dependents, non-elective and matching retirement contributions,
    paid time off, and staff-advised grantmaking.
    Location
    Skyline Foundation’s office is located in Palo Alto. Following an initial training period, a hybrid
    work schedule will be available, however, the role will require a minimum of two days per week of
    in-person work in the Palo Alto office.
