    This position is located in our brand-new Oakland City Center location. This role is a hybrid opportunity that includes traveling to the Oakland office and Physician Office locations as needed.

    About Your Work
    In this role, the Physician Services Representative I, serves as the internal primary contact for all service lines provided by Brown & Toland to their physicians. Physician Service Representative I support day to day administrative operations and provide exceptional physician service to network physicians and office staff; assists and monitors physician participation from the point of entry throughout their tenure with Brown & Toland. These includes advocating internally and externally on current and future products, services, and operational processes; actively and positively promote Brown & Toland’s overall strategic goals, core values, and communications; supports the development, maintenance and overall enhancement of relationships with Brown & Toland physicians and their staff. The role also services as primary patient portal representative; ensuring smooth transition for physicians and office staff.

    You will focus on:
    • Positively supports organizational and departmental strategies and goals. Promotes overall tone, providing outstanding physician service (written and verbal); ensuring high quality professional communication and timely service to the network. Promotes positive relations with physicians and office staff ensuring long-term, helpful relations.
    • Acts as an internal and external liaison and resource to Brown & Toland Physician Services Representatives II, physicians and office staff; primary focus on representing Brown & Toland Physician Services Department and resolving challenges in an expedited manner.
    • Independently works with internal departments to communicate challenges and deficiencies on behalf of the physician network and expedites resolution. Escalates challenges to direct supervisor or appropriate department. Utilizes and applies Brown & Toland’s systems, policies and procedures and tracking tools to ensure challenges are resolved and tracked in an efficient and timely manner.
    • Serves as the first contact for physician network support for Brown & Toland’s electronic network tools). Deploys EpicLink and the Provider Engagement Portal to contracted Brown & Toland offices. Works internally and externally; providing education, training, and day to day support.
    • Participate(s) and represents Physician Services in multi-department work groups when appropriate; problem solving/resolution (access, quality of care, claims issues); responsible for the documentation, communication, tracking/trending, completion of tasks for Physician Services.
    • As new physicians are recruited, you will support internal departments with onboarding new physicians and staff that are joining Brown & Toland or existing groups and practices. Assist, as needed, account set ups, agreements, and paperwork
    • to ensure best practice utilization with Brown & Toland products, e-tools, tools and services.
    • Facilitate, support and complete administrative tasks associated with physicians and office staff requests. Identify, track and trend physicians, staff and/or practices that are entering, retiring, or relocating Brown & Toland.
    • Schedule and facilitate internal and external meetings, as necessary, to ensure all relevant issues are discussed and resolved (i.e. contracting, claims, administrative issues); promote positive relationships between the Providers and Brown & Toland.
    • Attend relevant meetings, develop and manage work plans, to track and report trends, issue accurate minutes and facilitate appropriate follow up in timely manner
    • Educate physician practices regarding new and existing policies and procedures, including but not limited to medical management review processes, claims payment policies and processes, clinical coding policies and processes.
    • Review and understand existing policies to ensure maximum compliance, troubleshoot issues raised by providers and distribute any needed materials; identify non-compliant providers, and providers with member complaints.
    • Develops and maintains knowledge level of Brown & Toland’s services and product line offerings.
    • Perform additional duties and projects as assigned by leadership.
    The Skills, Experience & Education You Bring
    Required Education: BA/BS degree or equivalent experience of 4 years working in direct managed health care administration or Physician office administration
    Minimum Experience: 2- 3 years of Patient and Physician portals and EMH or EMR system experience, preferred
    • Proficient computer skills including Microsoft Office (Word, Outlook, Excel, PowerPoint).
    • Proficient in Patient and Physician portals and EMH or EMR system
    • Use independent judgment and initiative within established policies and procedures.
    • Ability to effectively communication and maintain excellent relationships with internal and external stakeholder to successfully support compliance and high levels of service.
    • Excellent communication skills, both written and verbal.
    • Strong understanding of physician office operations, including interfaces and interdependencies between offices, health plans, and IPAs
    • Demonstrated flexibility and strong organizational skills with the ability to prioritize duties, effectively delegate and engage, identify, support and follow through with needs of our internal organizations and our Network Physician Service expectations to conclusion.
    • Demonstrated ability of comprehensive knowledge and excellent customer service skills as it relates to the complexities of physician practices.
