Planner/Scheduler - Construction jobs in Santa Rosa, CA

We are seeking a highly organized and proactive Part-time Administrative Assistant to support various administrative functions. They will provide support to the Accounting Manager, Construction Department, and Marketing Department, demonstrating willingness and eagerness to aid with all tasks.

Admin Responsibilities:

• Data entry, purchase orders, accounts payables, and other accounting-related projects as they arise.
• Perform reception duties such as answering phones and welcoming guests upon their arrival at the office.
• Point of contact for IT resolution and coordinate workplace setups for new employees.
• General office duties such as filing, office supply inventory, and organizing.
• Assist the marketing team with events, customer gifting, and inventory management.

Construction Coordinator Duties:

• Perform takeoffs for materials, plants, and submittals.
• Review contracts, obtain certificates of insurance, and pre-liens.
• Input time cards into Aspire software and assist with special projects as assigned.

Qualifications:

• 2 years of experience as an Administrative Assistant or Office Assistant
• Associate degree preferred
• Strong communication skills, attention to detail, and ability to multitask
• Positive attitude, punctual and hardworking
• Highly organized and process-oriented
• Demonstrated experience with confidential information
• Experience with QuickBooks, Kronos/IPS HRIS, Aspire
• Daily use of Microsoft Excel, Word, Outlook
