Police Records Clerk maintains the records filing system and/or database used to manage, access, and preserve electronic and paper records of criminal justice activities. Assists in providing accurate and clear information to public and other departments. Being a Police Records Clerk may perform other clerical duties including taking photographs, fingerprints, and answering telephone inquiries. Typically requires a high school diploma or its equivalent. Additionally, Police Records Clerk typically reports to police sergeant or police lieutenant. The Police Records Clerk possesses a moderate understanding of general aspects of the job. Works under the close direction of senior personnel in the functional area.   • Records Clerks play an important role in the operations of the Green Bay Police Department and the department is seeking to fill two positions.  

    Work Schedule: Monday-Friday, 7:30 a.m.-4:00 p.m.  

    Hiring Rate: $22.20 per hour

    No residency requirement.

    1. Validates police reports.  Verifies accuracy of submitted reports and readies report per guidelines for monthly submission to OJA (Office of Judicial Assistance).  Distributes as required per procedure.
    2. Validates municipal and circuit traffic citations and warnings.  Verifies the accuracy of personal information, charges, statutes, court date and time, officer details and service of citations.
    3. Transcribes officer details.
    4. Redacts reports in compliance with Wisconsin Open Records Laws.
    5. Creates and processes reports for Brown County Drug Task Force arrests
    6. Organizes monthly submission to OJA and ensures proper reporting.
    7. Responds to open records requests made in person, by phone, email and mail following state and departmental procedures.
    8. Performs moderately difficult telephone work, which involves explaining department procedures and City or other regulations to the general public or other departments.
    9. Manages and maintains the court calendar for all police personnel.  Receives and distributes subpoenas.  Collects and maintains all court notices and cancellations and distributes in a timely manner.
    10. Receives applications from the City Clerk's office for various permits and licenses.  Runs local and state background checks, processes application per established guidelines and maintains appropriate documentation.
    11. Copies multimedia files and distributes to the District Attorney's office for cases referred.
    12. Processes and distributes "No Prosecution" letters generated by the District Attorney's office.
    13. Has the knowledge of, and maintains the confidentiality practices as applicable.
    14. Prepares invoices, maintains receipt books, completes cash drawer reconciliation, and submits money orders when required.
    15. Prepares interoffice mail and cash deposits, coordinating delivery with Community Service Interns.
    16. Prepares UPS shipments for outgoing mail.
    17. Orders supplies, receives and distributes for the department.  Maintains appropriate invoices, and distributes per department policy.
    18. Maintains appropriate data and complies with state and federal audits.
    19. Backs up all Records department positions as assigned.  Instructs and trains other clerical staff as required.  Performs other duties as assigned.
    • High school diploma or equivalent.
    • Three or more years of full-time office experience which included a substantial amount of word processing.
    • Successful completion of post high school courses in Administrative Professional program or related field desirable.
     
    A combination of equivalent experience and/or education may be considered.
    • Good knowledge of business English, spelling, punctuation, and grammar.  Considerable knowledge of general office practices.  Considerable knowledge of business letter forms, procedures, and terminology.  Considerable knowledge of general filing procedures.  Knowledge of simple bookkeeping procedures and basic arithmetic calculations.
    • Considerable skill in maintaining various office records, accounts, and files.  Considerable skill in working independently without specific instructions.  Considerable skill in transcribing from recording equipment.
    • Considerable ability to operate a variety of office machines.  Ability to focus on projects for long periods of time. Ability to proficiently type and utilize a computer and the required software.   Ability to follow oral and written instructions.  Ability to use independent judgment and work independently.  Ability to learn and apply departmental policies, City ordinances, state statutes and federal law.  Ability to establish and maintain effective working relationships with staff and the public.  Ability to communicate effectively both orally and in writing.  Ability to work the required hours of the position.
    • Typing and other testing tools will be used to assess skills.
