Position Summary
The ideal candidate for this position will have working experience in project management, excellent client-facing and internal communication skills, excellent written and verbal communication skills, solid organizational skills including attention to detail and multitasking skills, a strong working knowledge of Microsoft Office, a Bachelor's Degree in an appropriate field of study or equivalent work experience and experience with project management software tools and ERP systems.
Key Responsibilities
- Process Customer Purchase Orders by setting up a Job File, processing Submittals and following the project through manufacturing and onto the job site
- Follow up with customers to obtain submittal approvals. Communicate consequences (e.g. not meeting the original ship date) for any late submittal approvals
- Forward submittal approvals to appropriate parties, i.e., Engineering, Purchasing and Salesperson
- Follow up with Purchasing on any buy-out items for their projects.
- Send Project checklist to the customer so that accurate delivery dates, site dress/contact to obtain information needed for the project file. Review completed checklists for accuracy and follow up as necessary
- Communicate with the customer to ensure projects are on schedule and equipment delivery time frames have not changed. If delivery dates need to be moved, the Sr. Project Manager is to be notified
- Update the Sales Order in NetSuite for any revisions (deletions/additions) should submittal approvals be returned with changes
- Ensure all cut-sheets and drawings agree to the most recent revision of the sales order. If additions or deletions occur to the order, add or remove the relevant documents to ensure the processing of the Operator’s Manual can be processed without instance.
- Attend weekly Sales and any other relevant meetings to stay abreast of all upcoming projects and voice any concerns regarding in-house projects assigned to you.
- Ensure that all projects are delivered on-time and within scope
- Ensure resource availability and allocation
- Work with internal departments within Paddock to develop and follow a detailed project plan to monitor and track progress of project
- Manage changes to the project scope, project schedule, and project costs using appropriate verification techniques
- Measure performance using appropriate project management tools and techniques
- Report any project concerns including submittal delays, missing equipment, questions on equipment or any other concern. Escalate to management as needed
- Establish and maintain relationships with customers
- Maintain all project documentation including Sales Order, Purchase Orders, Submittals and Project Checklist. Ensure all documentation is filed in the appropriate folder on the shared drive.
- Use and continually develop leadership skills
- Perform other related duties as assigned
Qualifications
- Bachelor's Degree in an appropriate field of study or equivalent work experience
- Solid organizational skills including attention to detail and multitasking skills
- Excellent client-facing and internal communication skills
- Strong working knowledge of Microsoft Office
- Experience with project management software tools and ERP systems
- Knowledge of NetSuite ERP is a plus.
