    Responsibilities

    GENERAL PURPOSE:

    The Administrator is a critical member of the leadership team of the Division of Geriatrics & Aging and UR Aging Institute (URAI). Works in conjunction with the Division of Geriatrics Chief / URAI Director as well as the URAI Executive Committee and will also act as a liaison to UR Medicine Geriatrics Group and Monroe Community Hospital, UR Department of Medicine, URMC and MCH leaderships, faculty, as well as colleagues and collaborators at outside academic institutions. This highly visible position provides financial, operational, strategic, and human resources leadership and management. In addition, the Administrator represents the Division and URAI to the Department of Medicine, University of Rochester Medical Center leadership, and various organizational committees. The level of knowledge, expertise, and interpersonal skills required to manage the position's responsibilities are consistent with those of a senior level leadership management position; functioning with little supervision and with a wide latitude for initiative and independent judgment.

    RESPONSIBILITIES:

    Division of Geriatrics and Aging, UR Aging Institute Fiscal Administration

    • Develop analyses of budget data requested by Division Chief/Institute Director including budget exceptions, trends and other requested reporting including; Division $970,000, URAI $1.3M and MCH affiliated hospital agreement $1.7M.
    • Oversee accounting and purchasing functions for accounts related to clinical and Division Chief / Institute Director service agreements to ensure compliance with contract including reconciliation, problem resolution, analysis of expenditure trends relative to budgets and review/approve invoices. Review and reconcile monthly ledgers and direct resolution of discrepancies attributed to incorrect entries, etc.
    • Develop and control salary (faculty and staff) and operating budgets within the Division and URAI.
    • Compile, edit, and confirm accuracy material for financial reports and correspondence.
    • Prepare and determine annual faculty wage and salaries including letters.
    • Formulate reports as needed to support initiatives in each area.
    • Develop analyses of budget data requested by Division Chief/Institute Director and MCH Medical Director; including budget exceptions, trends and other requested reporting.
    • Manage Division, URAI and MCH billing and collection information. Authorize expenditures on faculty accounts supported by Department of Medicine's billing department for faculty based at MCH as well as the UR Aging Institute. Promote billing for all services, capture of charges in an accurate and timely manner.

    UR Aging Institute & Division of Geriatrics Support, Program Management and Project Planning

    • Represent the UR Aging Institute, Division Chief/Institute Director in contacts with Department of Medicine and University leadership, patients, faculty, as well as colleagues and collaborators at outside academic institutions; relaying the Division Chief/Institute Director instructions, preferences and concerns, and obtaining reports or recommendations.
    • In concert with Division and URAI leadership, responsible for the development and execution of the strategic plan for URAI and the Division of Geriatrics & Aging.
    • Develop and implements operational plans to align URAI and Divisional goals with hospital and health system strategic goals.
    • Develop and executes strategic business plans to meet strategic goals
    • Plan and facilitates for space allocation and management
    • Prepare research to support daily initiatives in program areas
    • Work with the DOM and Division Chief on faculty promotion including the development of promotion packet materials for each faculty member
    • Oversee the Geriatric Workforce Enhancement Program grant partner subcontracts, budget expenditures/ledgers, data collection infrastructure, and overall leadership support to the project director in monitoring program implementation and progress. Responsible for timekeeping process working with ORPA/ORACS to ensure that all staff comply with the federal standards related to documenting personnel costs. This is accomplished through ongoing quarterly reviews and reconciliation of cost ledgers.

    Personnel Administration

    • Oversee administrative support staff (4 direct reports) within the Division, URAI, and MCH Administration in order to effectively manage available resources (personnel, space, supplies, computers/network and office equipment).
    • Advise Division faculty and staff on all aspects of University policies, procedures and personnel administration including promotion, supervision, evaluation, progressive discipline, termination, employee rights and privileges, sick leave, vacation and benefits.
    • Resolve personnel administration problems.
    • Develop requests for new positions and reclassification as appropriate, determine staffing needs.
    • Complete performance evaluations for support staff.
    • Determine appropriate training needs/opportunities with staff members and pursue cost effective ways to provide training opportunities.
    • Responsible for time approval in HRMS for salaried, Bi-monthly and bi-weekly paid employees.
    • Division PCard Holder

    General Administration

    • Communication and Leadership: Identifies opportunities and collaborates with Marketing related to Division and URAI initiatives for program growth, expansion, research and competition.
    • Attend meetings and report pertinent information, updates, policy changes, etc. to Division Chief/Institute Director, MCH Medical Director and appropriate faculty and staff. Meetings include: Administrators in Medicine (AIM, SAG), MCH Administrative Meetings (as needed) and provider specific meetings within the Division.
    • Direct Division-wide or entity specific projects as requested by the Division Chief/Institute Director and MCH Medical Director such as space and personnel utilization, HIPAA compliance, corporate compliance and equipment inventory.
    • Participate in daily problem solving of Division and URAI operational issues.
    • Act as point person for obtaining and subsequently disseminating information on current affairs within the University and MCH.
    • Represent the Division of Geriatrics/Aging and URAI as required.

    MCH Medical Services Administration

    • Plan and direct the administrative and programmatic support for MCH activities in order to effectively manage available resources (personnel, space, supplies, computers/network and office equipment).
    • Direct and monitor budget process for 10 specialty units/services provided in the affiliated hospital agreement (over $1.7million) relative to utilization of available funds.
    • Direct the credentialing process for University and non-University based medical providers (100 ) appointed to MCH Medical Staff.

    QUALIFICATIONS:

    • College Degree preferred
    • 3 years of management experience, including one year in a position which demonstrated the ability to work with minimal supervision required.
    • Excellent communication skills and ability to work independently.
    • Proficiency in MS Office products specifically Excel, PowerPoint and Word. Possess excellent organizational and follow through skills, be detail oriented and able to prioritize assigned work required.
    • Be able to work independently and have a high level of maturity in making decisions and must have excellent judgment/discernment serving as our internal and external departmental representative for the Division of Geriatrics required.

    Pay Range

    Pay Range: $68,765 - $103,147 Annually
