    The Job

    As our Accounts Receivable and Account Payable Specialist will m Maintains accounting records, including cash receipts, accounts receivable, accounts payable, and sales tax activities. Assists in all areas of accounting, such as general ledger, account reconciliation, reporting, filing, and budgeting.


    Key Essential functions include but are not limited to:

    • Process and post sales and other daily cash receipts to the general ledger daily. Work with IT and Member Customer Service to locate and correct system errors in sales system batches. Reconcile all cash receipts to bank records. Run weekly electronic payment reports and distribute them to sales, customer service, and publications—Post Finance-related electronic payments to the general ledger.
    • Assist the annual meeting finance office.
    • Scan the incoming mail for the Finance department at least twice a month.
    • Assist with the data entry of AP invoices in the Bill.com inbox for coding, approvals, and vendor setup.
    • Track Expired, returned, or stale dated checks for issue or escheatment.
    • Research sales tax rules and rates for meetings. Obtain sales tax licenses and tax exemptions for states and cities where meetings and issues specific to online sales are held. Reconcile and remit taxes due.
    • Assisted with monthly and year-end closes, including preparing entries and analysis and resolving discrepancies in assigned general ledger accounts.
    • Run invoices on past-due accounts. Analyze them for accuracy, including system errors. Write off invoices at the direction of the Finance Director or other directors.
    • Coordinate with Geocorps to manage payment programs for government grants.
    • Assist Accountant II and AP/Payroll Specialist with duties as needed.
    • Assist the organization with and participate in annual inventory as needed.
    • Assist with preliminary and final audits—research information required by auditors.
    • Helped with sales and service issues as they arose.
    • Other duties as assigned.


    Supervision

    • Does not supervise others except temporary staff on-site at meetings.


    Knowledge, Skills, and Abilities

    • Associate degree with at least 4 years’ experience.
    • A minimum of 4 years of Accounts Payable experience is required.
    • Working knowledge of A/R systems, A/P systems, and general ledger accounting.
    • Attention to detail.
    • Accurate and efficient data entry skills.
    • Excellent customer service skills.
    • Highly proficient in MS Excel, MS Word, and Google Workspace.
    • 4 years in an integrated accounting software like Microsoft Dynamics GP or a similar Accounting system is required.
    • Self-starter with the ability to work independently and make decisions regarding accurate accounting procedures.
    • Able to perform routine tasks promptly and accurately with no supervision.
    • Experience with the analysis and reconciliation of general ledger accounts and preparation of adjusting/correcting journal entries.
    • Required to go to the office once a week.

    Working Environment/Physical Requirements

    • It may require travel for annual meetings.
    • Overtime is required according to workload.
    • Extensive computer work – three or more hours per day, multiple projects, and multiple deadlines that create a demanding work environment are standard.


    The opportunity is a full-time, non-exempt position with flexibility in the Boulder, CO, headquarters with a hybrid work schedule. One day in-person presence per week at the Boulder Headquarters is required. The hourly salary range is $52,000 - $62,400 when annualized. GSA provides excellent benefits, including medical, dental, and PTO, which include paid holidays, life insurance, 403(b) retirement, and opportunities for professional development. Additional recognized time off includes Juneteenth and Indigenous Peoples Day in 2024.
