    ADMINISTRATIVE

    TITLE: Finance/Administration Manager

    JOB OBJECTIVE: Employee provides accurate and on-time reports, maintains good customer relations, manages the financials, processes paperwork and assists all managers at TomKen. Employee reports to the President.

    PRIMARY JOB FUNCTIONS:

    • Follows policies, procedures, and work instructions per job responsibilities;
    • Documents and reports non-conformities immediately;
    • Prepares a business review, which shows the President the activity of the month;
    • Assists with problem solving, corrective and preventative activities;
    • Posts vendor invoices to correct shop order and correct account number, matches invoices to receiving copies,
    • Makes recommendations for continuous improvement;
    • Supervises setting up jobs, assigns the correct job type, department, and selling price to each job and closes job upon completion;
    • Supervises packing slips process, tracks status of purchase orders to be invoiced;
    • Reviews cash balance with President to determine weekly Accounts Payable check- run;
    • Supervises tracking of time tickets;
    • Tracks inventory;
    • Performs payroll functions (calculates and files quarterly taxes, prepares weekly payroll taxes and files monthly taxes that are due, 401K uploads);
    • Maintains personnel data (OSHA 200 log, workmen compensation claims, insurance forms and personnel files);
    • Prepares customer invoices for data entry into Accounts Receivable;
    • Prepares deposit slips and posts customer payments into Accounts Receivable;

    Finance/Administrator Manager Job Description

    • Bank Reconciliation, Prepare JE for month end, Review financial statements
    • Collections;
    • Purchase office supplies and custodial supplies;
    • Contact for temporary agencies (notifying if workers are needed, notifying when to end assignment);
    • File sales and use tax yearly;
    • Performs On-Line banking (positive-pay upload)
    • Completes monthly reports (balance sheet, income statement, narrative, inventory list account analysis, depreciation, taxes, and monthly inventory change);
    • Communicates with others as required i.e., Supervisor, subordinates, Co-workers, customers, and others necessary to perform job duties;

    SECONDARY JOB FUNCTIONS:

    • Prepares W-2’s;
    • Work with third party 401K administrator on census reporting;

    Performs related Primary/Secondary Functions as required.

    I. JOB REQUIREMENTS AND DIFFICULTY OF WORK

    EQUIPMENT: Ability to operate office machines (i.e., computer, typewriter, fax and calculator) and software (Microsoft Office, M1,
    Label-Matrix, M1)

    CRITICAL SKILLS AND EXPERTISE:

    • General knowledge of ISO/IATF16949;
    • Knowledge of ERP system;
    • Working knowledge and understanding of department’s policies and procedures;

    • Knowledge of accounting principles and procedures and related software;

    JOB STANDARDS: A degree in accounting or equivalent, specialized training, and related working knowledge obtained through on-the-job experience.
    Specialized training includes but is not limited to bookkeeping, accounting and related computer software classes.

    Employee uses a broad range of job related theories and principles. These must be fully understood in order to perform the job effectively. Employee is given generally accepted guidelines that are often unclear or not well stated and require the Employee to use independent judgment in selection or interpretation.

    II. RESPONSIBILITY
    Employee determines own priorities and accomplishes duties and assignments according to own schedule. Decisions have an impact upon individuals and cases, and actions and recommendations are based on department policies, practices and procedures. Work is guided by policies that are discussed with Supervisor as Employee sees fit and work is reviewed for the overall impact on the department. Errors may cause inaccuracies in reports, records, or technical data resulting in inaccurate or incomplete information.

    III. PERSONAL WORK RELATIONSHIPS
    Employee maintains contact with Supervisor, co-workers, vendors and customers to receive direction and assistance in the completion of duties.
