Milestones Psychology & Therapy is a growing practice offering psychology, counseling, speech, occupational and physical therapy services to the greater Wiregrass area. We are looking for a vibrant, organized, and self-motivated person who can work in an energetic office environment. This job requires strong multitasking skills, attention to detail, excellent interpersonal skills, and a strong aptitude for outstanding customer service. The Intake coordinator welcomes and registers new mental health clients. They gather information about the patient, create patient records and make new appointments. They must communicate effectively with patients and staff, perform level-of-care assessments and ensure compliance with mental health regulations.

Responsibilities include but are not limited to:

• Take all new patient referrals: welcome patients, record personal details, and gather medical histories
• Complete admissions paperwork and enter it digitally
• Verify insurance coverage and benefits for each patient
• Schedule new appointments
• Answer client questions related to services.
• Conduct initial assessments of patients to determine mental health needs and establish care requirements
• Assign patients to mental health practitioners based on intake assessments
• Provide supportive intervention in crisis situations through instructing and informing other members of the team about the client's situation
• Complete fee sheets 5 days in advance for all clinicians
• Follow-up on records when conducting insurance verification and three days prior to appointments to ensure records have been received for new patients
• Verify Medicaid testing units daily
• Confirm new patient appointments scheduled by referring offices within 48 hours
• Obtain prior authorizations/testing authorizations when necessary
• Keep cancellation lists updated, and insurance verified for 5 patients at all times
• Send cancellation letters. when necessary
• Fill schedules when new patients cancel
