Position Summary: The Program Assistant will provide a range of clerical, and program-related support for The Guidance Center of Westchester’s (TGCW) Assertive Community Treatment Team. Reporting to the Program Assistant, the ideal candidate will have experience providing reception, clerical, administrative, and project support in a busy team dynamic at a nonprofit behavioral health or similar organization.
Responsibilities:
• Provide clerical support for assertive community treatment program serving adults. Specific responsibilities include:
• Process intake documents and verify eligibility of referred individuals (insurance coverage online and/or by phone
• Supports the clinical team with day-to-day activities
• Scan, upload and organize intake documents in Electronic Health Record System (MyEvolv)
• Create and/or edit member profiles to comply with all ACT policies and procedures
• Open, close, and file charts as needed.
• Record staff Daily Activity Log into the Consumer Monthly Contact Log daily.
• Maintain and update Member Roster information on OneDrive
• Gather relevant behavioral health and medical information from various sources including PSYCKES, CAIRS, ePaces, and electronic health reporting
• Maintain spreadsheets related to caseloads
• Assisting with the coordination of AOT Treatment Planning Meetings and court appearances. Collaboration with AOT and lawyers re: AOT renewals.
• Assist the program director and program assistant with completing chart audits on a quarterly basis
• Participate in webinars and trainings as required
• May be required to sort, coordinate, and distribute in‐coming inter‐departmental mail, faxes, and external mail (e.g.US mail, UPS, etc.), prepare check requests, and place supply orders for the Department.
• Function as a team member through attendance of morning rounds and staff meetings.
• Support ACT Team Psychiatrist with scheduling, lab tracking and lab requests.
• Interact professionally and effectively with clinicians, insurance companies, and participants face-to-face, over the phone, and by email.
• Work closely with the team to coordinate and schedule appointments as needed
• Efficient and timely processing of all required administrative forms, reports and related information
• Other clerical duties as assigned

Qualifications: Degree requirements, licensure requirements, related experience required, specific job-related skills, hard skills, specific job-related applications.
• High School Diploma/GED required.
• 1 years’ experience in human services or related field. (Internships/Volunteer work okay)
• Minimum of one year closely related experience.
• Working knowledge of Electronic Health Record (EHR) systems, myEvolv a plus.
• Highly organized with the ability to prioritize effectively.
• Proficient in Microsoft Office 365, with emphasis on Excel, Word, and Outlook.
• Proficient in video conferencing apps i.e., Zoom.
• Ability to interact with people at all levels in a professional and courteous manner.
• Flexibility in schedule to accommodate business needs
