  • Position Summary

    The Program Coordinator will assist and support the Operations Manager with the development and operations of the Black and Brown Opportunities for Profit (BBOP) Center and BBOP Business Academy Programs. The Program Coordinator will help oversee the BBOP women’s entire entrepreneur journey through the BBOP Business Academy including recruitment, admission, and completion of the program ensuring entrepreneur success is reached. The Program Coordinator will provide support to the BBOP women by delivering high-end, entrepreneurial support founded in excellence. Additionally, the Program Coordinator will help with the designing, planning, and development of the BBOP Center and additional phases of the BBOP Business Academy to ensure a successful opening and flow of operations. The Program Coordinator will report to the Operations Manager.

    Responsibilities

    · Assist with BBOP Center & BBOP Business Academy Program needs, deadlines, and budgets

    · Communicate with Program Administrator to keep the project aligned with established goals

    · Provide administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on behalf of the Business Academy and Operations Manager.

    · Maintain comprehensive and accurate corporate records, documents, and reports. Responsible for all onboarding documentation for Business Academy Programs.

    · Recruit, orient, and onboard new entrepreneurs for BBOP Academy and ensure they are set up for success as they begin their journey with our program. This includes maintaining academy records, entrepreneur onboarding documentation not limited to policies and procedures, book receipts, etc.

    · Support prospective and enrolled entrepreneur inquiries and questions through online communities, phone calls, direct messages, and emails and in person if applicable.

    · Track entrepreneur engagement and success by monitoring their progress through our program curriculum and achievement of specific goals within the program

    · Assist with reviewing entrepreneur experience and satisfaction and developing strategies for entrepreneur retention.

    · Implement recurring BBOP Business Academy Programs and facilitate successful entrepreneur transitions and integration into appropriate BUILD, GROW, and SCALE programs

    · Support the creation and maintenance of BBOP Business Academy programs using various platforms such as Kajabi, AcessAlley, social media platforms, etc.

    · Schedules meetings, appointments, and events and coordinates purchasing activities and order supplies as necessary, as well as maintain supplies and inventory as needed.

    · Provide live event support to our team and attendees by assisting in the planning, organization, execution, and facilitation of live events

    · Attend conferences, workshops, and meetings that are applicable to the BBOP Center, BBOP Business Academy Programs, and mission of Time for Change Foundation

    · Function as Front Desk Receptionist, screen calls and visitors, and refer inquiries as appropriate

    · Create and update a resource directory of contact information and hours of operation

    · Prepare and keep accurate records of class schedules, program descriptions, eligibility requirements, necessary documents, and other essential information

    · Maintain front office cleanliness and appearance

    · Operate multi-line telephone system, direct calls, and deliver messages to appropriate personnel

    · Collect, sort, distribute mail and packages to appropriate personnel

    · Adheres to policies and procedures regarding guest records and confidentiality

    · Assists with scheduling and calendar management for offices and conference rooms

    · Oversee the service logs (Copiers, Sign in sheets, Reception App., etc.)

    · Responsible for ordering and maintaining office supplies for BBOP Center

    · Operate computer and other standard office machines

    · Operate window blinds during opening and closing of the building

    · Maintain image of front office ensuring cleanliness and professionalism

    Qualifications

    · Excellent verbal and written communication skills

    · Independent self-starter who can effectively time manage and execute tasks

    · Experience working on projects that have a network-wide impact

    · Highly organized, detail-oriented, and creative problem-solving skills

    · Strong communication skills and willingness to take constructive feedback

    · Loyal, hardworking, and comfortable in a fast paced small-business environment where priorities can change quickly

    · Ability to work in a variety of settings with culturally diverse individuals and communities with the ability to be culturally sensitive and appropriate.

    · Able to travel to live events for our company, programs, and team events (at least 6 times per year)

    Education & Experience

    · Bachelor's degree in Business (preferred)

    · 3-5 years of related experience in program management or project management

    · Proficient with Outlook, Microsoft Office Programs, and project planning tools

    · Types 55 WPM

    · Technology proficient

    Position Type

    · Full Time, onsite.

    · Expected starting salary range: $50,000 to 52,000 per year. Depending on qualifications.
