These duties encompass a wide range of responsibilities aimed at supporting the smooth functioning of the office environment and contributing to the overall efficiency and effectiveness of the organization.

    Responsibilities:

    Travel​

    • ​​You will be expected to undertake one day of travel per week.​

    Administrative Support:

    • Maintain office supplies inventory and ensure adequate stock levels.
    • Provide administrative support to staff members and management.
    • Oversee day-to-day office operations, including opening and closing procedures, mail distribution, and office cleanliness.
    • Implement and enforce office policies, procedures, and safety protocols to ensure compliance and efficiency.
    • Foster a positive and inclusive work environment by promoting teamwork, communication, and morale among staff members.
    • Relay messages, instructions, and information accurately and efficiently to ensure clarity and understanding.

    Patient Services:

    • ​Serve as the primary point of contact for visitors, clients, and vendors, ensuring a professional and welcoming atmosphere.
    • Assist staff in scheduling patient appointments, tests, and procedures using eClinical Works.
    • Assist staff in verifying patient demographics and insurance information, and update records as necessary.
    • Assist patients with completing registration forms and obtaining necessary documentation.

    Medical Records Management:

    • Maintain confidentiality and security of patient records in compliance with HIPAA regulations.

    Billing and Financial Duties:

    • Assist staff in collecting patient payment and account balances.
    • Assist staff in verifying insurance coverage and eligibility for patients.
    • Prepare financial reports for management as needed.

    Office Operations:

    • Collaborate with other staff members to ensure efficient workflow and communication within the office.

    Qualifications:

    • Associate or bachelor’s degree preferred.
    • Proven experience in office administration, preferably in a medical or healthcare setting.
    • Proficiency in computer skills, including Microsoft Office, QuickBooks, and electronic health record systems.
    • Strong interpersonal and communication skills, with a customer service-oriented approach.
    • Ability to prioritize tasks, manage time effectively, and work independently with minimal supervision.
    • Knowledge of medical terminology, insurance billing procedures, and HIPAA regulations is desirable.

    Working Conditions: The Office Coordinator will primarily work in an past pace environment, with occasional interactions with patients and healthcare professionals. The position may require standing, sitting, or walking for extended periods and occasional lifting or carrying of office supplies or files.
