    Project Administrator

    NEC is an independent provider of electrical services serving the telecommunications, cellular, electrical vehicle charging and utility markets. Services include installation, retrofit, maintenance, repair and decommissioning of critical electrical infrastructure. NEC is headquartered in Kingston, MA, with three additional facilities in Massachusetts, Connecticut and New Hampshire.

    JOB SUMMARY: The Project Administrator is responsible for performing administrative tasks to support not only project and construction managers, but all levels of office personnel whenever necessary. Maintaining strong communication skills with all members of staff is expected to understand goals and facilitate success within the position.

    SCOPE OF DUTIES: The purpose of this job description is to communicate the responsibilities and duties associated with the position. It should also be noted that some responsibilities and duties may not be specifically addressed.     ESSENTIAL DUTIES AND RESPONSIBILITIES include the following but are not limited to the job specifications contained herein. Additional duties or job functions that can be performed safely may be required as deemed necessary by supervisory personnel.

    1. Obtain certificates of insurance and maintain the certificates that are necessary to remain active.
    2. Assist to obtain, extend, and/or close electrical and building permits for all applicable and affected sites; maintain the internal permit tracking system.
    3. Assist to obtain and close notices to proceed from clients.
    4. Maintain job files and folders; initiate creation and obtain relevant docs to support JHA; create crew field file folders weekly and distribute them to crew foremen; break down folders at project completion.
    5. Maintain internal build documents, client-supplied build documents, and engineer-supplied build documents, on internal server/filing system; access vendor portals as needed to ensure documents are current.
    6. Assist with closeout packages, process, and analyze field-provided photos, test results, and as-built drawings, as well as complete informational forms, utilizing photo resizing software, Microsoft Excel, Microsoft Word, .pdf processing software, and various sweep and fiber test processing software.
    7. Review the client deliverables for accuracy of installation, by comparing them to client- provided build documents: i.e., Construction Drawings, RFDS, Structural and Mount Analysis/Modification documents.
    8. Assist the PMs and CMs with projects on a daily basis.
    9. File internal invoices for purchases within the respective job folders.
    10. Provide superior customer service ensuring all essential job functions are performed in a timely, efficient, accurate and safe manner.
    11. Communicate effectively with supervisor and co-workers, including all levels of management when required; utilize Microsoft Outlook for email, Microsoft TEAMS for collaboration, and verbally, throughout each day.
    12. Maintain office supplies and bring needs to the attention of Office Mgr.
    13. Perform other administrative-related duties, as may be assigned by NEC leadership.

    Qualifications


    EDUCATION AND/OR EXPERIENCE: High School Diploma or GED equivalent; experience using Microsoft Office with emphasis on Microsoft Excel and Word, and Microsoft Outlook; experience using Adobe Acrobat Reader and Writer or another comparable, .pdf software program; be able to communicate effectively using both verbal and written platforms with co-workers.

    1. Work Environments:

    Indoor environment Most often works with a video display terminal for prolonged periods. The open office work environment lends to background noise of telephones and conversations, resulting in conditions which might be stressful.

    Stationary position - Must be able to remain in a stationary position approximately 90% of the workday. Position primarily requires operation of a computer and other office productivity machinery such as copier and scanner. Regular verbal communication with coworkers, access office equipment and taking breaks, offers the opportunity to move about inside the office.
