Project Administrator
We are seeking a full-time Project Administrator for our Eugene Civil Survey office. This position provides administrative support and project coordination to engineers and surveyors in both our Eugene and Portland offices and is an integral part of the team. You will work on a variety of projects for both public agencies and private clients. We seek individuals who enjoy challenging work and who are motivated to improve the work environment to make it more efficient and collaborative.
Qualifications
Minimum 4 years prior administrative experience with progression of responsibilities in a professional office environment
Self-motivated professional who takes initiative without direction
Strong organizational and multi-tasking skills
Excellent writing/editing/proofreading skills
Great attention to detail and follow through
Positive attitude and demeanor
Proficient in MS Office programs including (Outlook, Excel, Word, and PowerPoint)
Knowledge of NewForma (desired, not required)
Experience in A/E/C industry (desired, not required)
Associates degree is preferred but not required
Responsibilities (including but not limited to)
Direct support to Project Managers and Project team members
o Prepare fee letters, specifications and reports using established templates
o Process contracts and amendments
o Proofread all documents prepared by project team members
o Track project budgets and prepare monthly status reports
o Assist with preparation of project deliverables (permit documents, RFI responses, coordinate technical Q/C reviews)
Work in project cost accounting system (BST10) to set up new projects, run inquiries, and initiate project close-out process
Coordinate travel
Maintain electronic filing systems ensuring compliance with file naming guidelines and project folder structure
Learn NewForma (project email and file management software), become proficient and train new employees

This position supports project managers and engineers in our Eugene satellite office, which currently consists of 13 employees including 5 PEs and will also provide back-up admin support to staff in our Portland office. We work on a wide variety of project types, serving public and private clients in land development, transportation and municipal projects. We believe in encouraging personal and professional growth, and we work hard at providing a solid structure with minimal organizational restrictions.
The Portland Civil Survey office (including Eugene and Washington DC staff) consists of 96 employees including 35 PEs and 3 PLSs.
NOTE: We re-opened our offices on April 4th and are implementing a hybrid work environment. Initially, the expectation is for employees to work in-office at least 1 day per week (more if desired) and we’re working toward a schedule of 3 days in-office and 2 days remote. Employees can work in-office full-time if desired.
