    GENERAL DESCRIPTION

    The Project Management Manager is responsible for overseeing and managing all aspects of onboarding new projects with/to Best Formulations customers. This role involves handling special projects with existing customers, such as new product launches, and coordinating special needs to ensure seamless project delivery. The Project Management Manager also directs and manages the work of project managers, providing managerial oversight for multiple projects. Monitors project scopes, costs, schedules, staffing, communications, outside vendors, and contractual deliverables. Develops standard processes and tools for effective project scheduling and manages quality targets. Addresses internal or vendor issues that may impede project delivery and develops solutions. Tracks at-risk metrics and facilitates actions to keep projects on track. Establishes data collection and reporting processes to capture key project metrics and provide periodic reporting. Manages subordinate staff to ensure project and department milestones and goals are met adhering to approved budgets. This role will also collaborate with Operations, Sales, R&D, Quality teams, and customers to ensure that customer order requirements, as specified in the Purchase Order, are met. This includes active participation in production planning meetings, customer service updates, and other relevant department meetings.

    ESSENTIAL JOB DUTIES/RESPONSIBILITIES

    • Create strong professional relationships with assigned new customer/s and Sales Representatives as well as Operations, R&D and Quality functions.
    • Works with Sales to validate Customer data at time of order for pricing, terms, exceptions, and any special shipping requirements. Develops pricing master for customer repeat SKU’s for CSR to quickly process orders.
    • Excellent Customer service skills.
    • Ensure accurate processing of customer orders in the Process Pro computer system and distributing orders to the appropriate internal departments for follow-up.
    • Gathering Best Formulations new customer required documentation, gaining appropriate internal approvals and cataloging within the L and other customer folders.
    • Determine new customer specifications and requirements to create, complete & distribute New and Revised Item forms, for new products to appropriate departments.
    • Distributing customer job orders, confirmations, first time Certificate of Analysis (CofA), customer requests, and any other documents relevant to the processing of customer documents.
    • Creating and updating customer spreadsheets and reports, including toll ingredient inventory reports and customer open order status reports, where required.
    • Build and distribute Best Formulations initial customer service scorecards to new customers.
    • Informing and following up zero dollar PO’s to Customers that are sending Customer supplied materials and updating appropriate Planners of delays, improvements or other issues.
    • Receiving and investigating customer inquiries, problems and complaints through facsimile, email, telephone or video conference.
    • Proactively acknowledging customer requests and promptly resolving issues, problems or concerns in a timely manner.
    • Maintaining positive communications with current and prospective customers through facsimile, email, telephone and video conference.
    • Working closely as part of the team with Production Planners, Purchasing, Quality Operations, Warehouse and Production departments to ensure production schedule is expedited in a timely manner; keeping appropriate sales staff and/or Customers informed of the process.
    • Notifying customers and/or Management of possible delays or issues with orders.
    • Assisting accounts receivables in setting up new customer account. Provide assistance with invoices, miscellaneous invoices, credits, and other accounting issues as necessary.
    • Shipping samples as needed or requested for customer via FedEx, USPS or UPS.
    • Participating in new customer meetings, audits, tours and video conferences.
    • Follows established department SOP's, cGMP regulations, and batch record instructions.
    • Complies with all Company policies and procedures, including safety rules and regulations.
    • Maintains a safe work environment and operates in a safe manner.
    • Orients Customer Service Representative to take over CSR role at time first order is billed.
    • Perform other job duties related to the job, as assigned by management.

    SUPERVISORY DUTIES

    Performs a variety of leadership duties and job tasks within assigned department and/or work area, ensuring that all applicable safety laws/regulations, as well as state/federal employment laws that pertain to position are followed in accordance with Company policies, procedures, standards, and work-rules.

    • Supports Company policies, procedures, and work-rules and ensures that department employees comply with policies, standards, and work-rules.
    • Assists with interviewing and selection process of new hires for department, ensuring that non-discriminatory laws and guidelines are followed.
    • Provides coaching, guidance, and training to department employees; ensures that employee meets company standards and work expectations as required by job description.
    • Reviews safety rules with new department employees, ensuring that Company safety policies and work rules, as well as machinery safety rules and guidelines are understood, before the worker is allowed to operate machinery independently; participates in injury/accident investigations, and completes necessary reports; conducts daily safety inspections of machinery and work area.
    • Counsels and disciplines employees, as needed, to ensure compliance with Company policies, standards, and work rules.
    • Sets a positive example of leadership to others within the department and throughout the organization; promotes a leadership style that encourages open communication, positive team-building efforts and employee morale.
    • Completes 90-Day and annual employee performance evaluations for all department employees.
    • Participates in employee suspension and termination meetings.
    • Performs other supervisory and managerial duties as needed/requested by senior management.

    QUALIFICATIONS

    • Proficient skills in reading, writing, and speaking in English; bilingual (English/Spanish) skills a plus.
    • Excellent written and oral communications skills & techniques.
    • Excellent task prioritization, planning & organizing skills. Can illustrate total system impacts when changes are made in any one area.
    • Basic math skills; proficiency with 10-key calculator.
    • Excellent project management skills, aligned to new customer needs.
    • Ability to handle and prioritize multiple task/duties simultaneously.
    • Ability to present information in one-on-one and small group settings with customers, management and other employees.
    • Proficient math skills (addition, subtraction, multiplication and division in all units of measures, using whole numbers, common fractions and decimals).
    • Proficient PC skills (Microsoft Word, Excel, Access, PowerPoint, Project).
    • Ability to maintain a high-level of confidentiality in the performance of job duties.
    • Ability to maintain a positive, professional, cooperative demeanor, conduct, and working relationship with peers, management, employees, and other individuals that interact with this position.
    • Ability to adapt effectively to workplace changes and new job duties/responsibilities.
    • Ability to represent the Company in a positive and professional manner at all times.
    • Effective trouble shooting, problem solving skills.
    • Willing to work late and/or during weekends; if needed.
    • Effective planning & organizing skills; ability to handle multiple task/duties.
    • Knowledge of general office skills and administrative procedures, including, but not limited to: typing (min. 45-50 wpm), filing, copying, faxing, editing, and development of memos, letters, reports, and correspondence.

    SELECTION GUIDELINES

    The appropriate knowledge, skills and abilities required for this position are achievable through the following combination of education, work experience and training:

    • High School Diploma or equivalent GED Certificate; and
    • College Degree or applicable Project management training in an accredited college/university; plus
    • 3 or more years of work experience in a fast-paced work environment; or
    • Proficient expertise in Project Management Professional (PMP certification, or similar), and
    • Any combination of experience, education, and training that provides the level of knowledge, skills, and experience needed to successfully perform the job.

    PHYSICAL DEMANDS & WORKING CONDITIONS

    The essential functions of this job require the employee to perform the following physical activities during the course of work:

    • Communicates orally with management, employees, co-workers, vendors, suppliers, governmental compliance agencies, and the general public by telephone or in person, in one-on-one or group settings.

    • Requires agility to operate multiple telephone lines with the use of hands and head-set.
    • Lifting limitations for this position: 25-40 lbs. May have to manipulate heavier containers.
    • Requires incumbent to sit and operate computer for extended periods of time during course of work day, and the ability to proficiently use the computer key-board for typing.
    • Noise level for this work environment is typically low to moderate.
