Role Overview

Working in a hybrid environment and reporting directly to the Regional Director - Marketing and Communications, the Promotions Specialist (PS) is responsible for helping implement regional promotional programs on behalf of the Marketing, Communications, and Public Relations (MCPR) team. Key initiatives include Stantec’s tradeshow/conference/events program, advertising (digital and print), photography, promotional initiatives, and year-end campaign programs. The PS partners with MCPR, graphic design and communications team members to bring planning and implementation strategy, as well as ROI tracking to positioning efforts, including social media, and works to maximize our impact with promotional spend. The PS helps establish best practices and coordinates program rollouts.

Your Key Responsibilities:

Tradeshows/Conferences/Events

• Works closely with practice leadership to implement annual strategic tradeshows, conferences, and events with the goal of promoting Stantec’s brand awareness.
• Serves as the key contact for tradeshow/event-related inquiries for the region.
• Serves as key contact and regional owner of Tradeshow / Conference Application
• Provides guidance on process and available tradeshow/event support services. Assist with training and orientation to best practices and protocols for leaders and event attendees.
• Holds kick-off meetings with event owners to ensure adequate planning in advance of events.
• In partnership with event leader(s), MCPR team members, including Digital and Visual Communication Designers, leads planning and coordination of positioning efforts leading up to events.
• Advocates for inclusion/representation of Stantec thought leadership content in events, including employee presentations, digital collateral/tools, email campaigns, etc.
• In partnership with a graphic designer, identify and develop brand compliant event collateral material, visual displays, and social graphics in support of building Stantec’s brand awareness.
• Facilitates the delivery and set-up of all materials including tradeshow exhibits, presentations, and print/electronic promotional materials in accordance with agreed upon schedule and established service level agreements.
• Coordinate/purchases of promotional merchandise as appropriate, including client giveaways.
• Understands related costs/timelines for materials development and purchase and, shipping to assist in budgeting.
• Tracks, analyses, and reports on all tradeshows, conferences, and events, including deliverables and budgets, as required.
• Ensures promotional database of tradeshows, conferences, and events is updated (including post conference debrief forms) to influence future participation.
• Creating, and sharing event-specific hashtags to optimize/track SEO.
• Works with the Social Media team to track engagement/sharing; Urchin-tracking (ROI)
• Providing guidance to event participants on who/when/how to post social content for events/conferences.

Advertising & Sponsorships

• Provide guidance on process and available advertising / sponsorship support services.
• In partnership with Visual Communication Designer, develops copy and identifies imagery, and coordinates with advertising/sponsorship outlet for publication or promotion.
• Tracks, analyses, and reports on all advertising/sponsorship initiatives, including deliverables and budgets, as required.
• Track advertising/sponsorship performance and make recommendations on optimization.

Other programs

• Assist with Stantec’s photography program such as tracking inquiries in shared database and responding to stock photography requests. Assist with prioritizing requests.
• Provide guidance on process, photography guidelines, and Stantec-approved marketing photographers.
• Coordinate photography quotes and photography shoots as requested. Capture images in corporate database.
• Tracks, analyzes, and reports on photography initiatives, including deliverables and budgets, as required.
• Support digital promotional campaigns.
• Support tracking, coordination, and promotions for select award programs.
• Maintain shared calendar of key promotional initiatives and events.
• Assist with coordination of Stantec’s annual year-end campaign, working in close partnership with MCPR teams.

Qualifications

Your Capabilities & Credentials:

• Detail-oriented and organized, with exceptional prioritization skills.
• Excellent written and verbal communication skills
• Ability to work effectively and collaboratively with a team, as well as independently and with minimal supervision.
• Ability to effectively communicate with and present ideas to colleagues and management.
• Demonstrated proficiency with Web-based tools and Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, MS Teams, and MS Forms.
• Knowledge of InDesign and Adobe Acrobat is a plus.

Education and Experience:

• Post-secondary education in marketing, communications, journalism, business, or related area
• Minimum 5 years of experience in event / conference / tradeshow management
