    Department Statement:
    The mission of the Acquisitions Department is to acquire or facilitate timely patron access to materials which fit the University Libraries collection development policy.

    This position works 37.5 hours per week, 12 months and is covered by a collective bargaining agreement between Colgate University and the Local 200United SEIU Libraries, Mail Services and IT Technicians.

    Accountabilities:
    Accountable for acquiring materials as promptly and as cost effectively as possible for both the Case and Cooley Libraries. Accountable for ordering or securing access to library materials requested by Colgate students, faculty, and staff in both physical and online formats, and investigating access problems. Responsible for providing ongoing backup and/or assistance in working with other materials such as serials and media as requested by the Collections Strategist.

    Specific duties include, but are not limited to:
    Acquisitions Department
    • Processes all invoices for Acquisitions department, including those for monographs, media and subscriptions, and submits to Accounting for payment according to the Libraries and Accounting Departments' best practices. Serves as primary contact for vendor inquiries regarding invoices and payments and resolving issues.
    • Works closely with the Collections Strategist Librarian to monitor and reconcile fund balances adjust allocations as needed
    • Accurately tracks, approves and processes payments for materials received.
    • Maintains statistics and reports in support of Acquisitions Department needs.
    • Processing gifted materials and materials withdrawn from the collection.



    Monographic purchasing
    • Researches media purchase requests (physical and electronic) and places orders with appropriate vendors/publishers using the best available method.
    • Includes one-time faculty student requests and ongoing support of seasonal Colgate film series
    • Serves as primary contact for all vendor/faculty/student inquiries regarding orders. Resolves billing problems and errors for this material
    • Arranges for bibliographic records for monographs to be added to catalog, tracks payments in appropriate systems
    • Receives and processes gifted materials
    Serials
    • Shares some duties and provides backup for Serials Paraprofessional position on an as-needed basis for extended periods during the semester and/or summer
    • Other
      • Provides regular statistical reports of work to the Collections Strategist
      • Contributes to and updates Acquisitions Departmental Manual and makes suggestions for improvements as appropriate
      • Attends meetings and professional development opportunities as directed or available



    Professional Experience/Qualifications
    • Experience using basic computer functions (especially Microsoft Word, Excel)
    • Demonstrated accuracy in record keeping
    • Attention to detail and multi-task tracking processes at various stages.
    • Ability to interact in a collegial manner with a culturally diverse group of faculty, staff, and students

    Preferred Qualifications
    • Experience with an integrated library system
    • Accounting experience
    • Knowledge of MARC formats
    • Library experience



    Education
    College degree (associates or above), or an equivalent combination of education and library experience is required.
