Busy real estate development office seeking skilled individual to handle all aspects of Property Management. The Property Manager is to serve as the center point of contact for all property management tasks across our portfolio of properties. This position is responsible for the successful day-to-day financial, administrative and maintenance operations of multiple properties within the portfolio (primarily retail and office assets) while assuring the company’s standards are achieved. This is a full-time position. Position will be in person based out of our corporate headquarters in Monterey, CA.
Responsibilities will generally include the following, without limitation:
- Development of operating and maintenance budgets including CAM budgets and CAM/NNN estimates for new tenants
- Actively oversee and resolve all tenant complaints and issues in a timely manner
- Property assessment to identity needed maintenance and repairs
- Ensure preventative maintenance programs and property inspections are implemented in accordance with company standards
- Vendor negotiation, bidding, selection, and oversight of contractors and maintenance personnel at properties so they are being maintained properly
- Schedule routine maintenance items such as window washing, parking lot sweeping, landscaping, pest control, janitorial, weed abatement, etc. and review the quality of the services provided by the vendors
- Assess and provide recommendations for capital expenditures needed across all properties such as parking lot sealing and striping, painting, roofing, etc.
- Work with internal departments such as Leasing, Construction, Accounting, and external parties including construction companies, miscellaneous vendors, city and county officials, etc.
- Advise executives and acquisition team during pursuit of new assets including review of due diligence items related to property management and leasing of potential acquisitions
- Review of property tax assessments and processing of property tax appeals as appropriate
- Review, maintain and file all service contracts, utility services, etc.
- Initiate and cancel utilities and other services upon the sale or acquisition of property and upon tenant turnovers
- Maintain all insurance policies
- Tracking, reviewing and processing all broker commissions
- Follow tenant improvement process and coordinate delivery of tenant’s spaces
- Input and maintenance of leases in Yardi Voyager
- Review new leases and track tenant deliverables, payables, deadlines, contingencies, noticing requirements, insurance certs, tenant improvements and construction, etc.
- Prepare and send new tenant welcome packages including welcome letter, invoices, W-9, etc.
- Track lease termination and extension dates and deadlines
- Identify deadlines and notices required under the leases and make sure all notices are timely served (including notices of delivery, late rent, default, etc.)
- Track, review and approve all requests for payment of tenant improvement allowances
- Track and invoice tenant contributions
- Draft LOIs for new tenants
- Main point of contact for potential tenants
- Show properties to potential tenants
- Coordinate delivery of space to new tenants
- Posting of vacant spaces online (coordination with office staff accordingly)
- Various other tasks and research projects to assist office staff
Communication skills are of great importance, as the job will require interfacing with multiple tenants, vendors, municipalities, and other parties on a day-to-day basis. The Property Manager must have a positive attitude and a discerning ability to be heavy-handed when necessary. Expertise with Microsoft Outlook, Word and Excel is a must. Experience with Yardi Voyager is preferred.
Candidate should be detail oriented, energetic, organized, self-motivated, reliable, open-minded and flexible and possess the following qualifications:
- Experience with management of retail buildings and office parks
- Experience working with national tenants is strongly preferred
- Experience with commercial NNN leases, CAM budgets and reconciliations is required
- Must exhibit a thorough understanding of leases and CC&Rs to ensure tenant and landlord responsibilities are in compliance
- Must exhibit a thorough understanding of the accounting requirements of each property to ensure coordination of project accounting with in-house accounting team and compliance with reporting requirements on a timely and accurate basis
- Strong organizational and time management skills
- Ability to multi-task and work independently with little supervision
- Minimum of five years of commercial real estate industry experience

Salary range is estimated to be $90,000-$105,000 DOE. Actual salary to the individual hired for the position will be determined based upon experience and qualifications. Starting pay for the successful applicant will depend on a variety of job-related factors, which may include related experience, education and training, location, business needs, or market demands.
