Job Summary:

The Administrative Assistant for Contracting reports to the Contracting Project Manager. The primary duties include performing administrative duties for the Contracting Project Manager and Field Operations Manager.

Duties/Responsibilities:

• Create and edit job orders and work orders as instructed by the Contracting Project Manager.
• Create start-up folders/ sheets, pick tickets, O & M manuals, and excavation binders.
• Document all communication, notes, and emails in the job folder phone log.
• Prepare site visit folders for review.
• LA one-call on all jobs before installation.
• Close out all job folders ensuring that all required information is in the folder.
• Attending pre-construction meetings documenting action items and emailing the team with expectations of completion dates.
• Works with Contracting Project Manager and Field Operations Manager to complete their weekly report and submit it to the Vice President of Sales and Marketing.
• Perform other duties as assigned.

Required Skills/Abilities:

• Self-motivated, positive attitude, helpful, responsive, and have strong organizational and planning skills.
• Able to multi-task at any given time and provide attention to accuracy and detail.
• Excellent communication skills; both oral and written
• Computer and mathematical skills (i.e., Excel, Office, Word.)
• Customer service oriented
• Advanced Excel knowledge is a plus.

Physical Requirements:

· Frequently required to sit at a desk, occasionally required to walk and stand.

· Must frequently lift and/or move up to 25 pounds.

· Must have good vision and can look at a computer screen for a long period.

Job Type: Full-time

Pay: $18.00 per hour
