    Job Description

    Nevada State College (NSC) invites applications for the position of Administrative Assistant 4 for the Office of the Provost. The Administrative Assistant 4 will assist the leadership of our student support faculty in the Writing Center and the Academic Success Center with the operations, complexities, challenges and projects that come with supporting multiple directors and their departments. This includes hiring, training and preparing student employment contracts; fiscal activities (purchasing, budgeting, contracts); planning and executing events; travel arrangements; and interdepartmental coordination. This position requires strong communication skills, excellent time management skills, creativity, and strong interpersonal skills.

    Position Responsibilities:
    • Assist the unit heads of the Writing Center, Academic Success Center, and Course Assistant Program with travel, purchasing, scheduling, and other special projects.
    • General administrative support-manage calendars, answer phones, troubleshoot issues, process hiring for new hires and re-hires.
    • Daily office management-purchasing supplies, taking meeting minutes and other duties as necessary.
    • Hiring, onboarding and training student employees.
    • Budgeting, including reconciliations, record maintenance, creating monthly reports and monitoring expenditures.
    • Student data maintenance-data entry, creating monthly reports and assisting with grant & federal reporting requirements.
    • Planning and executing events.
    • Special projects on occasion for the Office of the Provost.

    Minimum Qualifications:
    • Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.
    • Eligibility to work in the United States without sponsorship (NSC does not sponsor employment-related visas).

    Preferred Qualifications:
    • Expert in Microsoft Suite - Word, Excel, PowerPoint, Outlook.
    • Strong written and verbal communication skills.
    • Excellent time management and organizational skills.
    • Strong interpersonal skills.
    • Skill in working independently - making decisions appropriately and within boundaries of assigned authority; following through on assignments with minimal direction.
    • Ability to anticipate conditions, plan ahead, establish priorities, and meet deadlines.

    Salary & Benefits

    Budgeted salary for this position is $40,340.16. Nevada State College offers excellent benefits, including an excellent retirement plan, generous vacation & sick benefits, 11 paid holidays, educational benefits, and a choice between three health insurance plans that can be supplemented with flexible spending accounts or health savings accounts. No relocation assistance is provided for this position.

    The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm.
