    Position Summary:
    The Provost and Vice President for Academic and Student Affairs oversees the faculty, curriculum, and all academic-related issues at Southern Oregon University, as well as student affairs issues regarding academics, activities, and conduct. Directors for each of the four Schools, plus the
    University Library & Undergraduate Studies program, report to the Provost, who has final authority for the curriculum and management of faculty for the university.. The Associate Provost and Director of Graduate Studies provides leadership in the areas of curriculum, assessment, and advising; and resolving conflicts involving faculty and students. This position provides the following support to the Provost and Associate Provost:

    Serves in public relations capacity as point of contact for the Office of Academic Affairs, including drafting, proofing, and sending all-campus communications on behalf of the office,

    Manages the office, schedules appointments, arranges travel, processes reimbursements, and coordinates meetings schedule for Provost and Associate Provost,

    Answers phones, greets visitors, and handles inquiries and complaints with tact and discretion,

    Plans and coordinates events, meetings, and retreats from inception to execution,

    Assists Academic Affairs staff and visitors with university processes for travel, reimbursement, securing signatures, etc.

    Manages emeritus and affiliate faculty processes,

    Provides support to the Curriculum Committee,

    Manages curricular change process for the university, and provides guidance to departments through this process,

    Serves as Primary Manager for the university's academic catalog,

    Maintains curricular archives for the university and researches curricular issues as needed,

    Provides support to the Faculty Development Committee, and coordinates Academic Affairs grants and Distinguished Faculty Awards procedures from application process through allocation, award arrangements/grant disbursement, and reporting,

    Assists faculty in using grant funds and ensures that grant policies and procedures are followed,

    Provides administrative support-including scheduling, developing agendas, distributing materials, capturing notes/minutes/action items, and follow-up-for Tuition Advisory Council, Enrollment Council, and other councils and committees as needed,

    Sends Provost's List and President's List notifications and letters to qualifying students,

    Manages reservation process for two International Faculty Housing units,

    Updates and distributes list of key Academic Affairs staff each term,

    Coordinates with other Executive Assistants to provide additional administrative support to university leadership when necessary,

    Organizes the Academic Affairs Office, orders supplies and equipment using established procedures for purchasing and procurement,

    Maintains the Academic Affairs website and develops and maintains office filing systems.

    Minimum Qualifications:
    Bachelors Degree.
    Four years of progressively responsible experience in an administrative support position.
    Excellent interpersonal skills and ability to work collaboratively and effectively in a group environment.
    Ability to work with computer programs in MS Office suite.
    Excellent attention to detail.
    Excellent written and oral communication skills, and ability to communicate professionally with university, community, and statewide staff. Ability to follow policies and procedures, recommend solutions to problems, and adapt to change.
    Must be able to manage frequent interruptions and changes in priorities.
    Experience with and ability to interact with a diverse population.

    Preferred Qualification :
    Prefer experience in a higher education setting, and knowledge of SOU organization.

    Experience using SOU or other higher education institution data systems preferred.

    Excellent communication skills; ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.

    Demonstrated customer service experience requiring a very high level of diplomacy and professionalism to effectively handle a broad range of sensitive interpersonal situations.

    Demonstrated ability to interpret and consistently apply a wide variety of complex policies and procedures where specific guidelines may not always exist.

    Ability to work with frequent changes in policies and procedures, under pressure of deadlines in a fast-paced environment.

    Strong analytical and research skills; ability to gather, evaluate, and to develop well-reasoned conclusions and recommendations.

    Ability to proactively assess work operations and anticipate potential problems; ability to develop and implement strategies for preventing/resolving problems.

    Ability to effectively perform work of a highly sensitive and confidential nature that requires access to information. Ability to exercise sound judgment and discretion, tact, and diplomacy.

    Initiative in independently planning, organizing, and performing work assignments within broadly defined parameters.
