    Job Description:

    knack for prioritizing and bouncing between phone calls, e-mails, scheduling, and

    software systems in a way that produces accurate and effective results? Do you love to

    This position's purpose is to provide in-person and over-the-phone support for each

    client, whether they're a new client seeking services or an already established client. We

    are in need of someone who basically loves those who call in and need support and

    gets satisfaction helping others. Someone who has been exposed to the psychological

    field and is comfortable taking calls and greeting clients and others . You will follow

    established policies and procedures in relation to the administrative care of clients and

    documentation of activities related to the client’s care and progress across the

    continuum of care.

    This position's main function will be to assist in scheduling Psychological Evaluations

    and sending questionnaires to families who are seeking a diagnosis. They will work

    closely with the families, our psychologists, and our Administrative team throughout the

    whole evaluation process from start to finish. They will also field phone calls from all

    centers to ensure that connections are made in a timely manner to best support our

    families and clients.

    This position is NOT for someone who is simply looking for a paycheck to answer

    phones and a few emails. We’re looking for a role model who can be constantly relied

    upon by our clinical and operational teams. Someone who thrives in bursts of organized

    • Maintaining a positive attitude when stress presents itself. While recognizing when you need to ask for support or ask for additional training from the support team. (Worry about what you can do, not what you can’t)
    • Effective communication and interpersonal skills with clients, visitors, and staff members.
    • Ability to utilize problem-solving techniques, a self-starter, work effectively,

    organize, and perform multiple tasks simultaneously.

    • Willingness to jump into the fire, learn new skills, and determination to get

    through the learning process. (When the going gets tough, you just get tougher)

    Psychological Receptionist Requirements:

    • Continually Reliable (Showing up on time to your shift prepared to tackle the day)
    • Exposure to the psychological field so you can assist our team with being knowledgeable in the service.
    • At least 2 years of experience working at a front desk/reception or experience in customer service.
    • Speak, write, read, and/or communicate fluently in the English language. Ability to type (or verbally dictate and edit) to write daily session documentation in accordance with quality standards and policies and procedures.
    • Must be computer literate and able to read and respond to multiple company emails per day. Must have access to Wi-Fi or an internet connection outside of work hours.
    • Phone communication/conversation skills. (We talk a lot with clients, parents, and clinicians)
    • Competent with Adobe, Google Docs, Gmail, and Microsoft Office
    • Clinical scheduling experience and experience scheduling new and existing clients.
    • Highschool Diploma or GED
    • Current & Valid Driver License as well as reliable transportation to get to the office
    • 18 years or older
    • Ability to pass a Background Check
    • Ability to maintain confidentiality about the clients, families, staff, and any other protected health information (PHI) in accordance with HIPAA.

    Essential Functions:

    • Answering incoming phone calls from potential clients and or current clients, which includes answering questions about what services we provide, who our clinical team is, and who UTBS is.
    • Completing intake documentation for incoming clients and updating current client documents to remain within compliance per the state of Utah.
    • Boosting and maintaining positive and appropriate relationships within your region which includes keeping the culture positive and solution focused.
    • Answering emails from both external and internal individuals in a professional and timely manner.
    • Handling internal and external referrals as these are important to retain clientele but also ensure that UTBS is following our processes and procedures.
    • Going through and sending questionnaires in relation to Psychological Evaluations which requires attention to detail as there are multiple contingencies.
    • Display understanding of policies and procedures in relation to record requests while maintaining HIPAA.
    • Taking vitals for clients as needed for their Medication Appointments to assist our Medical Team. (Teamwork makes the dreamwork!)
    • Record keeping client files to ensure they are filed with the correct client’s information and that they are updated yearly to maintain compliance for services.
    • Managing Psychologist schedules to get new clients in to be evaluated which in return will provide clear guidance on their steps for beneficial treatment for their diagnosis.
    • Positive and uplifting phone communication/conversation skills with anyone who calls in to ensure they get a warm welcome right off the bat.
