GENERAL: The Office Manager for the Public Defender’s Office is responsible for the administrative and secretarial duties of the office. The Office Manager supports the office by ensuring the office runs smoothly and efficiently. He / she is responsible for providing legal support to the attorneys. He / she must maintain files and ensure all necessary office supplies are available for use. He / she must maintain confidentiality in all communications. The Office Manager reports directly to the Chief Public Defender.

Minimum Requirements:

• Any combination of education and experience, that demonstrates the applicant’s ability to smoothly and efficiently provide support services to the Office of the Public Defender.
• Applicant must possess good communication skills, both written and verbal.
• Applicant must be able to work independently to perform assigned duties.
• Applicant must be detail oriented in that all communication must be precise and correct.
• The Applicant must understand and abide by the requirements of confidentiality.

Principal Duties and Responsibilities:

• Answer incoming calls and direct to appropriate staff or take and forward accurate messages.
• Notify individuals of application status and write correspondence to those that apply for representation.
• Obtain legal forms from Susquehanna County Courts upon initiation of cases.
• Maintain the calendar of the office.
• Ensure that all correspondence and incoming mail is distributed to the appropriate party.
• Complete and serve paperwork to transport clients from other facilities when required.
• Prepare all paperwork for completion by clients.
• Maintain accurate and complete client files.
• Print and serve legal documents.
• File motions using UJS Portal.
• Prepare legal paperwork as directed.
• Prepare paperwork for assignment of counsel where conflicts exists.
• Maintain parole calendar to ensure that individuals eligible for parole have all paperwork filed in a timely manner.
• Organize files to ensure all documents for scheduled cases are available to attorneys appearing in court.
• Prepare and file ARD expungement paperwork.
• Obtain services of experts, stenographers, or translators and ensure that bills for their services are submitted and paid in a timely manner.
• Order and maintain office supplies including legal books and binders.
• Schedule all travel and submit expenses for re-imbursement.
• Maintain the office budget.
• Track all bills and ensure purchases do not exceed budgeted amounts.
• Organize files for shredding when appropriate.
• All other duties as assigned by the Public Defender.

Physical Requirements:

The applicant must be able to perform the duties and responsibilities of the position in a normal office environment.

Special Requirements:

• The applicant must pass a county background check with no record of criminal convictions.
• The applicant must complete and pass a pre-employment drug test.
• The applicant must meet and comply with Susquehanna County’s Employments Policies.
• Part of this position functions involves the handling of CONFIDENTIAL DATA, disclosure of which is protected by law.

Pay: From $16.47 per hour
