Service encompasses all aspects of the Pokagon Band of Potawatomi Indian’s governmental operations. Every employee shares the responsibility to provide exemplary service, dignity, and respect to all Tribal Citizens, the Tribal Council, and staff members. To this end, all employees have an obligation to identify and report any service problems, issues, or concerns and through designated channels, initiate, recommend, and actively participate in solutions.
Position Summary:
.Manage the Higher Education Assistance Program (HEAP), Pokagon Indiana Education Fund (PIE Fund), and vocation programs. Review and make payable transactions to specific programs within the Department. Provide the Department staff general administrative support with their programs, services, and events.
Essential Functions:
- Assist with processing and maintaining databases.
- Document, review, and process all higher education applications following all Tribal and Federal regulations.
- Perform HEAP and vocational payouts.
- Work with multiple college and university financial departments to coordinate tuition payments.
- Assist all Education staff with programs and services.
- Identify, recommend, develop, implement, and support cost-effective educational resource for current department programs and services.
- Responsible for correct and timely payment of invoices, recording of receipts and monitoring of specific budgets.
- Maintain confidentiality with respect to the content within participant files.
- Assist Director of Education in preparation of annual budget reports.
- Provide information of the department’s programs and services to those inquiring and eligible for assistance within the department.
- Assist in the coordination and planning of department events and purchases.
- Perform accounts payable activities for the department including reconciling company credit cards. .
- Manage and adhere to all HEAP policies and procedures.
Non-Essential Functions:
- Perform other related functions as assigned.
Equipment:
- Standard office equipment.
- Systems used: Microsoft 365 and SharePoint.
Position Requirements:
- High School Diploma or GED is required.
- Possesses or actively pursuing an a bachelor’s degree in the fields of Education, Business, Humanities, or Management from an educational-related field from an accredited institution whose program of study has been recognized by the Council for Higher Education Accreditation or the United States Department of Education.
- Minimum of six (6) years of prior office administrative support work experience.
- Ability to manage all aspects of programs including, but not limited to budgeting, data entry, and reporting.
- Minimum of two (2) years of experience in managing budgets.
- Minimum of one (1) year of experience with conducting complex calculations to provide appropriate individual payouts to students/customers/vendors/employees factoring in a variety of requirements which may include but not limited to policy, contracts, allowable expenses and/or miscellaneous fees.
- Experience working with Native American communities preferred.
- Proficiency with MS Office applications is required.
- Must be able to create and maintain Excel spreadsheets for database purposes.
- Strong delivery of positive service and excellent communications skills, both oral and written; excellent project management skills are required.
- Excellent presentation, communication, and interpersonal skills; ability to speak effectively before groups and respond to questions effectively.
- Knowledge, intellect, temperament, and flexibility to work effectively in a fast-paced, environment.

Physical Requirements:
- Work is generally sedentary in nature and will frequently require sitting, however standing and walking will occasionally be necessary.
- Frequently required to use hands and fingers to operate equipment.
- Frequently required to talk and hear.
Work Environment:
- General office environment. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available.
