Inputs transactions and administers a purchasing and contracts system or database. Being a Purchasing Agent interacts with suppliers to obtain favorable pricing terms, product specifications, monitor availability, and optimize savings. Expedites delayed orders and resolves issues with changes, returns, replacements, and credit arrangements. Additionally, Purchasing Agent coordinates with internal teams to ensure that procurement needs are met promptly and efficiently. Requires a high school diploma. Typically reports to a supervisor or team leader. The Purchasing Agent independently performs a wide range of complex duties under general guidance from supervisors. ROLE OF THE PURCHASING AGENT
The purchasing agent plays a key role in communicating with order entry, operations, sales, and vendors to ensure books and other supplies are high quality, available when needed, in the right condition, at the right cost.
RESPONSIBILITIES- Maintain item master information within the ERP to properly signal when purchase orders or manufacturing orders are necessary
- Using reports and system tools to place purchase orders and manufacturing orders
- Review and update open manufacturing and purchase order lines to ensure on-time delivery.
- Reconcile damaged and mis-shipped goods as necessary.
- Maintain Vendor discounts and item costs
- Complete customer quote requests as needed.
- Initiate vendor returns as needed.
QUALIFICATIONS- Previous purchasing experience of 1-3 years or equivalent education.
- Strong planning & organizational skills
- Strong attention to detail
- Excellent phone etiquette
- Excellent verbal and written communication skills.
- Ability to multi-task, prioritize, and manage time effectively.
- Good understanding of supply chain procedures.
- Maintain the confidentiality of all information received.
PHYSICAL REQUIREMENTS- Repetitive motions that include the wrists, hands and/or fingers
- Sedentary work that primarily involves sitting, remaining in a stationary position for prolonged periods
- Visual perception to perform job including peripheral vision, depth perception, and the ability to adjust focus.
