The Purchasing Agent will be responsible for purchasing inventory to assist with business
needs. Duties include the need to understand company needs based on stock, inventory, projects
and plans as well as the understanding of market trends according to the industry. The
Purchasing Agent must be able to negotiate vendor terms, prices and delivery schedules. Along
with being able to work within company budgets and schedule requirements. Under general
supervision of the Purchasing Manager, the Purchasing Agent will help develop and monitor
supply procurement and inventory control.
Essential Basic Requirements:
Experience:
- 2-4 years experience in a Purchasing role
- General knowledge of building materials in the Maintenance, Repair and Operations
(MRO) Industry
- Experience in developing processes and procedures that streamline workflows to increase
overall productivity and reduce costs
- Complete computer literacy including Word, Excel, Google system, forms
Education:
- Bachelor’s Degree in Business Administration or related field or equivalent experience
required
- Certifications on procurement preferred
Personal Competencies:
Individuals must possess excellent communication and negotiation skills. Source out suppliers
and negotiate pricing. Identify and resolve problems in a timely manner; gather and analyze
information skillfully; develop alternative solutions; demonstrate skills and management
experience of procurement of supplies within the diverse divisions of the company. Have
advanced knowledge of maintenance, repairs and operation supplies. Help develop inventory
control methods and asset tracking systems. Establishes effective working relationships with
supervisory and non-supervisory internal customers within the various operating or support
departments.
Job Duties and Responsibilities:
General Duties:
- Responsible for tracking and inventory control of equipment, tools and supplies; conduct
periodic checks to assist in arranging replenishment, as necessary
- Knowledge of of building materials
- Ability to multi-task and attention to detail
- Developing and maintaining good relationships with our vendor-partners
- Controlling and reviewing all purchase orders from deliveries and working with
Accounts Payable to ensure all invoices are paid on time and discounts are taken when
offered
- Ability to work well with others as well as independently
- Must possess excellent verbal and written communications skills
- Ability to multi-task and work in a fast-paced team environment
- Must be detail-oriented and set high standards for accuracy.
- Strong organizational, decision-making, and problem-solving skills required.
- Procure the purchase of supplies, equipment and services as necessary
- Uses knowledge of material work planning and methods engineering processes and
procedures to coordinate product deliveries.
- Consult with stakeholders on any regular or unusual purchases requiring special planning,
budgeting and priority.
- Ability to conduct periodical onsite inspections of shops/warehouses
- Immediately communicate concerns of potential loss of materials
- Negotiates best vendor terms, pricing and delivery based on specific budget and schedule
requirements and ensures terms of contract are upheld.
- Responsible for maintaining supply inventory levels required for effective company
operation.
- Monitor day to day purchases made by On Site Management Team, including but not
limited to Yardi records, invoices, budgets, financial reports, forms,annual inventories,
equipment and maintenance.
- Stay up to date with industry trends and establish long-term purchasing arrangements
with vendors when it is beneficial to the company.
- Compare product deliveries with issued purchase orders and contact vendors when there
are discrepancies.
- Follow up on orders to ensure that materials are shipped and delivered on promised dates.
- Maintains records and follow up files of purchases, shipments, and related matters.
- Inspect products received for quality and quantity to ensure adherence to specifications.
- Performs other related job duties as required.
Travel
Occasional travel may be required to conduct off-site physical inventories.
