Purchasing Clerk initiates, prepares, processes, and verifies purchase orders following established guidelines to purchase materials and goods by required delivery dates. Inputs transactions and administers a purchasing and contracts system or database. Being a Purchasing Clerk interacts with suppliers to obtain favorable pricing terms, product specifications, monitor availability, and optimize savings. Expedites delayed orders and resolves issues with changes, returns, replacements, and credit arrangements. Additionally, Purchasing Clerk coordinates with internal teams to ensure that procurement needs are met promptly and efficiently. Requires a high school diploma. Typically reports to a supervisor or team leader. The Purchasing Clerk works under the close direction of senior personnel in the functional area.     Our 164-bed inpatient services for adolescents through senior adulthood offers comprehensive and individual assessments, psychiatric evaluation and medication stabilization, daily group therapy and personalized aftercare planning. We also offer a Partial Hospitalization and Intensive Outpatient Treatment Program to ensure the continuum of care for our patients. Old Vineyard is accredited by The Joint Commission and certified by the Centers for Medicare and Medicaid Services.     We are currently seeking a Payroll/Accounts Payable/Purchasing Clerk to join our talented and caring team.

     

    Position Responsibilities

    Under general supervision, establishes and maintains accurate accounting and financial reporting procedures for the hospital.  Responsibilities include accounts payable, data entry, general ledger, purchasing, payroll, e-time, and central supply.

     

    Accounts Payable

    • Match Invoices with PO’s.
    • Obtain appropriate Senior Leader approval on Invoices without PO’s.
    • Obtain Controller approval for all Invoices under $5,000. Obtain CFO approval for all Invoices above $5,000.
    • Ensure accuracy of Invoices.
    • Enter and Pay Invoices weekly; Do not incur late charges. Obtain Controller approval prior to issuing checks.
    • Obtain statements from vendors and ensure Invoices paid; obtain and pay Invoices listed that are unpaid.
    • Assist Controller with production of monthly A/P accruals.
    • Submit monthly Sales Tax to NC.

    Payroll

    • Accurately produce bi-weekly Payroll by deadlines. Obtain Controller approval prior to submitting to Corporate.
    • Submit accurate required Payroll documents to Corporate by deadlines.
    • Train management on how to read punch detail reports.
    • Run and distribute department punch detail reports weekly and as needed for management to utilize in their employee time review.
    • Daily enter employee manually entered hours; must have the employee’s and management’s signatures prior to entry.
    • Enter employees into the time clock system.
    • Train employees on how to use the time clock system, Payroll forms, and Payroll deadlines.
    • Run manual checks as is necessary.
    • Answer employee questions regarding Payroll and their time as is necessary.
    • Assist Controller in production of weekly FTE report.

    Purchasing/Receiving/Central Supply

    • Order central supply product weekly, to include office supplies, and non-pharmaceutical patient supplies.
    • Order only from approved vendor list and facility standardized product list; obtain CFO approval for vendors and product outside of approved lists.
    • Maintain par stock levels to ensure product never runs out.
    • Obtain appropriate Senior Leader approval on PO’s.
    • Obtain Controller approval for all PO’s under $5,000. Obtain CFO approval for PO’s above $5,000.
    • Responsible for the distribution of received product to Central Supply rooms, patient units, and appropriate departments at minimum twice weekly.
    • Stock product as FIFO.
    • Maintain PO log and follow-up on untimely product and Invoices received.
    • Match PO’s to packing slips to invoices for A/P processing.
    • Obtain quotes for non-standardized products as requested via management.
    • Produce Central Supply Inventory once a year.

    Qualifications

    To perform this job successfully, an individual must be able to demonstrate competency in the criteria listed in this job description. In absence of these qualifications upon hire, must demonstrate ability to learn these concepts and develop these skills within reasonable time frame via the organization’s orientation and training program.

     

    Qualifications:

     

    Education: High school diploma or equivalent required. Bachelor's degree in finance, business or related field preferred. If no degree, must have payroll/AP experience.

     

    Experience: 1 - 3 years' experience in Payroll strongly preferred. If no experience, must be a recent graduate of a finance program.

     

    Licensure/Certification: None required. 

     

    Knowledge/Skills:

    Our ideal candidate will possess a strong work ethic, have the ability to learn new processes quickly with the ability to multi-task and maintain positive working relationships with all hospital staff all while demonstrating professional, effective communication skills. The preferred candidate will have a proven background of success in a payroll role within the healthcare industry.
