As an Accounting Clerk II you will be responsible for procuring all items for AIDB’s Central
Warehouse. This will entail request for proposals/request for bids along with dealing with
vendors on a daily basis. Also you will assists Director of Purchasing and Warehouse as
needed. The right candidate for this job will have a passion working for our students, staff,
parents and community partners

Basic Qualification:
· Minimum of a High School diploma or equivalent.
· Minimum of two (2) years of work experience in clerical/office management working with an automated bookkeeping, accounting, records processing system.
· Two (2) years of work experience in Purchasing, Inventory Control or Accounting.
· Proficient with the use of Microsoft software products (Excel and Word).
· Working knowledge of Generally Accepted Accounting Principles.
· Must be able to organize, prioritize tasks and meet demanding deadlines.
· Strong customer service skills and attitude.
· Must possess knowledge of office practices, procedures and equipment.
· Must be able to deal pleasantly and professionally with suppliers, customers and co-workers by telephone, written correspondence and in person.
· Must be able to communicate well orally, in writing and with sensory impaired individuals.
· Must be able to understand and follow oral and written instructions with limited supervision.
· Work record which demonstrates a high level of accuracy, integrity and confidentiality.
POSITION REQUIREMENTS
· A sign language proficiency level of SURVIVAL according to the AIDB evaluationsystem must be obtained with the first thirty-six (36) months of employment.
· Upon offer of employment, the applicant must submit to a fingerprint background check at an agency designated and paid by AIDB
PERFORMANCE RESPONSIBLITIES:
May include but are not limited to any of the following activities:
· Assist the Dietician Director in gathering Child Nutrition Program (CNP) information for reporting purposes to include Summer Feeding Program.
· Request for Bids - In accordance with Alabama Competitive Bid laws do the following: prepare documents, mail, assist with opening, maintain correspondence, and file finished documents.
· Maintain Vendor database and files for bids and solicit new vendors. Research may be required.
· Warehouse inventory purchases – work with the Warehouse Foreman to determine stock levels of inventory items and submit purchase orders.
· Inventory counts – prepare count sheets for annual inventory and participate in monthly and quarterly cycle counts and maintain associated records.
· Inventory item maintenance – maintain inventory items in the automated accounting system and maintain item lists on AIDB intranet for Cafeteria Managers and AIDB units.
· Initiate inventory purchases – submit purchase orders for regular food items, commodities and special orders.
· Special order purchases – perform as a liaison between Dietician and Vendors to check availability and pricing on non-stock inventory special orders.
· USDA Commodities – submit purchase orders, schedule deliveries, and maintain all correspondence and associated reports.
· Process applications for vendor rebates and maintain associated records.
· Processing AIDB credit applications and Tax-Exempt Certificates and maintain files. Issue outgoing W9 form.
· Maintain Records Retention correspondence and files.
· Maintain records destruction files, compile annual disposition report, and ensure compliance with the current RDA document.
· Communication with vendors and AIDB personnel, verbally or in writing, whenever necessary.
· Cross-train and provide support to other purchasing personnel/functions.
· Other duties as assigned.
Salary: $19.52 - $23.46 Scale C5 Rank 42 (260 workdays)

This is a non-exempt position and is subject to overtime provisions of the Fair Labor Standards Act.
