Purchasing Director manages procurement and purchasing operations and implements the strategy to provide the materials and services to meet organizational requirements for quality, volume, availability, and pricing. Maintains strategic supplier relationships, negotiates contracts, and implements systems for monitoring performance, assessing risk, and responding to changes in demand or disruptions in the supply chain. Being a Purchasing Director collaborates with other functions to define current and future inventory requirements and manage inventory levels. Implements processes and systems and utilizes technical tools to analyze data and increase responsiveness to material demands. Additionally, Purchasing Director oversees auditing processes to ensure procurement and recordkeeping comply with any applicable industry or governmental regulations. Requires a bachelor's degree. Typically reports to a director. The Purchasing Director typically manages through subordinate managers and professionals in larger groups of moderate complexity. Provides input to strategic decisions that affect the functional area of responsibility. May give input into developing the budget. To be a Purchasing Director typically requires 3+ years of managerial experience. Capable of resolving escalated issues arising from operations and requiring coordination with other departments.     The Purchasing Assistant is responsible for material acquisition (ordering) for PSG Manufacturing and its associated functions. The top priorities for individuals in this role are plant safety and ordering and maintaining inventory. In addition to being a quality worker, he or she should exhibit good judgment, high ethical standards, and embrace the teamwork approach.

    Job Levels

    The following lists and describes the job levels in the Purchasing Assistant Position at PSGM. A person must be able to perform all of the jobs listed in an individual level prior to be promoted in to that level. Learning all of the skills in a certain level does guarantee a promotion. Promotions and job levels are determined by a department’s needs and an individual’s performance.

    Purchasing Assistant

    o Responsible for general housekeeping of office area

    o Responsible for overall inventory program (cost vs. materials)

    o Responsible for ordering (or supporting ordering) of all materials needed for the PSM facility and associated functions

    o Reviewing all purchase orders released to manufacturing and ordering all necessary materials and parts necessary to complete the build(s)

    o Responsible to create and track all orders placed through the PSG computer system(s) – QuickBooks, Outlook

    o Work with Procurement specialist to verify all items purchased are communicated with expected delivery details

    o Track and record paperwork for all materials purchased and received

    o Communicate and reconcile all records for material receiving and distribution with the Receiving Specialist for proper allocation and documentation in the PSGM electronic tracking system

    o Creating or reconciling invoices as necessary

    o Working with manufacturing to support all product builds and orders as necessary

    o Support Sales Group in estimating process by providing historical data and personal expertise in procurement area

    o Develop and maintain raw material and supplier quality programs for PSM Manufacturing

    o Lead and support inventory reconciliation process for PSM by performing cycle counts

    o Train and support back up personnel to perform Purchasing Assistant role

    Duties and Responsibilities

    • Safety
    • Follow PSG safety rules and adhere to the PSG Safety Manual.
    • Each individual is responsible for the safety of each job. Be sure that job conditions encourage safety. Monitor both company and individual equipment for proper safety conditions and inform the Team Leader, Safety Contact, or a member of Management if an unsafe condition exists. Inspect and maintain all company tools to ensure their safety, reliability, and longevity.
    • Maintain, wear, and communicate to others the appropriate use of PPE (Personal Protective Equipment) for each job and your area.
    • Maintenance of individual job (project) paperwork and working knowledge of all work documents.
    • Responsible for knowing and understanding all contract documents including plans, specifications, and change orders. Any questions you have, or discrepancies you discover, should be communicated to your supervisor
    • Responsible for maintaining all job records as required by the manufacturing process

    • The workplace shall operate professionally. Radios should be played quietly, if at all. Foul, intimidating, or abusive language will not be tolerated.
    • Overall company policy adherence
    • It is everyone’s responsibility to ensure that all employees, subcontractors, vendors, and customers working in or around our facility adhere to all of our company’s policies including but not limited to safety, appearance, cleanliness, and customer satisfaction for your portion of work. If anybody is performing in a manner outside of our company policies, you are expected to intervene and report this to your supervisor immediately.
    • Overtime
    • It may be necessary at times to work beyond your regularly scheduled hours. If there is a sufficient backlog of orders, we use overtime to meet our customers’ demands. Whether there is need for overtime work is determined by the floor supervisor or plant manager.
    • Overtime will be paid at the rate of one and one-half times your regular straight-time rate of pay for all hours worked in excess of 40 hours in a workweek.
    • Assigned overtime is mandatory. Late arrival or failure to report for mandatory overtime is treated as a tardy or absence.

    Qualifications

    Qualifications include:

    • Education
    • High School Diploma
    • Business or secondary training (preferred)
    • Specialized knowledge
    • Individual should possess a working knowledge of computer systems. These include but are not limited to Outlook (e-mail), Fishbowl, Quickbooks, Word, and Excel.
    • Individual must be capable of acquiring a working understanding of basic manufacturing processes, equipment, tools, and parts
    • Individual must be capable of grasping and understanding an inventory system. This person is the key focal point for inventory reconciliation and tracking
    • Skills

    o Computer interface and applications

    o Ability to interface with a broad group of individuals and personalities

    o Ability to multi-task on daily basis

    o Individual must be well organized and keep detailed records

    • Abilities
    • Read, interpret, and work from sketches, drawings, bills of material (BOMs) purchase orders (P.O.’s) and plans.
    • Safely maneuver through the plant manufacturing and storage area to locate and verify materials
    • Work effectively and cooperatively with staff
    • Keep accurate records
    • Capable of sitting 90% of the time
    • Lift and manipulate objects of up to 40lbs., and ability walk, stand, and bend,
    • Experience
    • Previous work in the manufacturing and/or building industry is considered a plus
    • Previous work in procurement is considered a plus

    Working conditions

    • This job may require working in a variety of conditions. These may include day time, evening, and weekends. It may further include being outdoors, indoors or in unconditioned spaces periodically.
    • Role includes working with challenging timelines, project scopes, clients and so forth. It may also include working with or in other functions with the Portable Solutions Group.
    • Employee may be exposed to any or all of the following conditions: heat, cold, humidity, exposure to chemicals, noise, dust, dirt, vibration, fumes, airborne particles, off the ground work. Physical requirements may include lifting and manipulating objects of up to 40lbs.
