Purchasing Director manages procurement and purchasing operations and implements the strategy to provide the materials and services to meet organizational requirements for quality, volume, availability, and pricing. Maintains strategic supplier relationships, negotiates contracts, and implements systems for monitoring performance, assessing risk, and responding to changes in demand or disruptions in the supply chain. Being a Purchasing Director collaborates with other functions to define current and future inventory requirements and manage inventory levels. Implements processes and systems and utilizes technical tools to analyze data and increase responsiveness to material demands. Additionally, Purchasing Director oversees auditing processes to ensure procurement and recordkeeping comply with any applicable industry or governmental regulations. Requires a bachelor's degree. Typically reports to a director. The Purchasing Director typically manages through subordinate managers and professionals in larger groups of moderate complexity. Provides input to strategic decisions that affect the functional area of responsibility. May give input into developing the budget. To be a Purchasing Director typically requires 3+ years of managerial experience. Capable of resolving escalated issues arising from operations and requiring coordination with other departments.     Summary
    The Coordinator supports the administrative and supply chain duties of the Procurement Department by creating purchase orders, receiving products into the inventory system, coding invoices and recording pertinent data into spreadsheets. The Coordinator fills sales sample requests and maintains sample inventories and supplies. The Coordinator also packages and ships food samples to industrial ingredient customers in addition to providing Sales departmental support as needed.
    He/she must be a well-organized team player who can multi-task in a fast-paced environment. This position requires a detail-oriented candidate with a solid understanding of Microsoft Excel.
    The successful Coordinator is organized, comfortable asking for help, able to establish and maintain positive relations with all departments, capable of rapidly re-prioritizing tasks throughout the day and effectively returns to and completes earlier tasks when interrupted for higher priority business.

    Essential Duties and Responsibilities
    • Coordinates and communicates information to vendors and internal customers.
    • Creates and distributes purchase orders.
    • Receives and documents incoming goods.
    • Sets up freight for incoming orders.
    • Updates weekly inventories and reports.
    • Organizes purchase documentation and other important data in Microsoft Excel.
    • Maintains up-to-date knowledge of customers and brokers.
    • Manages customer database and profiles.
    • Compiles sample records, coordinates, and communicates with customers/brokers.
    • Assists with special projects, duties, and/or assignments. All other duties as assigned.
    • Regular attendance during established business hours is an essential requirement of the position.

    Qualification Requirements

    Education and/or Experience
    • High school diploma or GED required
    • Three (3) years of experience in general administrative work with an emphasis on detail and data entry; experience in procurement and/or sales preferred
    • Microsoft Excel knowledge to add new data to existing spreadsheets, write formulas (sum, average, look-up, etc.), and create new spreadsheets with inventory data; ability to learn and gain additional Excel skills with time and training
    • Knowledge of raw fruit procurement cycles and experience in a food/beverage manufacturing environment preferred but not required
    • PC-based computing experience (word processing/Word, spreadsheet/Excel, email/Outlook)
    • Familiarity with MS Dynamics-NAV or other ERP system desired

    Language Skills

    • Ability to read and comprehend English. Additional foreign language skills helpful.
    • Ability to write legibly.
    • Excellent oral/written communication skills to inform and persuade customers.
    • Effective language and human relations skills essential to developing and maintaining customers.
    • Professional writing skills to compose emails, letters and other business correspondence observing all rules of grammar, spelling, and punctuation.
    Mathematical Skills
    • Basic quantitative skills including ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions, and decimals.
    • Ability to compute rate, ratio and percentage.
    • Quantitative skills to analyze product and production vis-à-vis sales goals and customer orders.
    • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
    • Ability to calculate yields.
    Reasoning Ability
    • Ability to understand and carry out written or oral instructions.
    • Ability to evaluate and prioritize tasks. Ability to re-prioritize throughout the day based on changing requests and needs.
    • Ability to interact well and maintain positive relationships with others.
    • Ability to work independently in absence of direct supervision; analyzing and identifying critical success factors relating to sales and take effective action.
    • Ability to make decisions, exhibit sound and accurate judgment and make timely decisions.
    • Ability to manage details and comprehend full scope of department goals.


    Environmental Conditions

    • Standard office environment
    • Potential workplace hazards in the laboratory and processing plant. All safety regulations and use of PPE’s must be followed.
    • Frequently work at fast pace with unscheduled interruptions.
    • Manage multiple deadlines.

    • Mobility around office and plant facility.
    • Ability to work in production plant environment which may include heat, cold, noise.
    • Ability to sit, stand, talk, hear, reach, bend, use hands to finger, handle or feel objects, tools, or controls.
    • Ability to use keyboard and monitor.
    • Regularly lift and/or move up to 10 pounds. Occasionally lift and/or move up to 60 pounds.
    • Specific vision abilities required by this job include color vision, close vision, peripheral vision, depth perception, and the ability to adjust focus.
    • Ability to maintain regular and ongoing attendance.
