Purchasing Supervisor supervises daily procurement and purchasing operations and implements the strategy to provide the materials and services to meet organizational requirements for quality, volume, availability, and pricing. Maintains strategic supplier relationships, negotiates pricing, monitors performance, and expedites to respond to changes in demand or disruptions in the supply chain. Being a Purchasing Supervisor collaborates with other functions to meet current and future inventory requirements and manage inventory levels. Utilizes technical tools to analyze data and increase responsiveness to material demands. Additionally, Purchasing Supervisor performs auditing processes to ensure procurement and recordkeeping comply with any applicable industry or governmental regulations. Typically requires a bachelor's degree. Typically reports to a manager. The Purchasing Supervisor supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. To be a Purchasing Supervisor typically requires 3-5 years experience in the related area as an individual contributor.   • The Purchasing Coordinator at the direction and supervision of the Director of Purchasing and Purchasing Manager manage the day-to-day administrative duties of the Purchasing Office. The Coordinator will assist in liaising with other departments and the Storeroom. It is their responsibility to process new vendors and assist with the purchasing of products and services.     ESSENTIAL FUNCTIONS Monitor stock levels and identify purchasing needs. Replenish storeroom for both F&B and General Supply pars. Notify purchasing management if pars appear inaccurate. Track orders and ensure timely delivery. Maintain, control, and file Purchase orders and supporting documents into the computer. Check all PO’s received by the departments are approved, signed, and assigned to authorized vendors. Maintain and update list of all hotel approved vendors, which include their products, quantities, pricing, discounts, contact name, phone number and order history. Prepare cost analyses when needed. Create reports requested as needed. Follow up with suppliers, as needed, to confirm or change orders.  Correct discrepancies as needed. Liaise with receiving department to ensure all products arrive in good condition. Keep record of packing slips and invoices and provide invoices that are ready to be processed. Follow up on orders with packing slips pending invoices. Answer department’s phone and respond to vendors, guests, and employees’ needs. Assist Director of Purchasing and Purchasing Manager in internal and external correspondence. Assist in maintaining office supplies. Perform all other duties as may be required or assigned.   SUPERVISORY REQUIREMENTS Reports To:         Director of Purchasing, Purchasing Manager   Supervises:        N/A   EDUCATION/EXPERIENCE High school diploma or equivalent vocational training certificate. Any combination of education and experience which would provide the necessary knowledge, skills, and abilities to meet the minimum qualifications to perform the essential functions of this position.   LICENSES/CERTIFICATIONS None   KNOWLEDGE, SKILLS, & ABILITIES Ability to anticipate guest needs; respond promptly and acknowledge all guests. Ability to maintain positive guest relations at all times. Must be highly organized, detail-oriented and have the ability to multi-task. Ability to work under time constraints. Compute basic mathematical calculations (add, subtract, multiply and divide numbers). Good knowledge of Office suite of application (Excel, Word, etc) and purchasing system.   PHYSICAL DEMANDS The physical demands and work environment characteristics described are representative of those that must be met by an employee to successfully perform the essential functions of this job.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.   Ability to lift/transport up to 40 lbs. Ability to stand/walk for up to 1-2 hours throughout work shift. Maintain stationary position for up to 8 hours throughout work shift.   WORK ENVIRONMENT Indoor, air conditioned environment.
